Project Coordinator – Civil Engineering (Rebar Estimation & Detailing)

About the Role
Every rebar estimation and detailing project we deliver passes through several hands. It starts as a bid request from our Sales team, moves through our internal Delivery team, and often involves third-party vendor partners before a finished report reaches the client. When those handoffs aren't actively managed, deadlines slip and visibility disappears.
This role exists to own that flow end to end. You are the single point of coordination who keeps every project moving from bid intake to final delivery — tracking status, driving follow-ups, and making sure nothing stalls between teams.
This is a communication and workflow role, not an engineering one. You do not need a civil engineering background. You need to be relentlessly organized, a clear communicator, and comfortable holding multiple stakeholders to a timeline.
Key Responsibilities
End-to-End Project Coordination
- Own each project from bid intake (handed off by Sales) through final delivery of estimation or detailing reports.
- Intake new bid requests, log them into the tracking system, and set clear turnaround expectations with all parties.
- Maintain a live view of the project queue and flag capacity or scheduling conflicts before they become delays.
Stakeholder Communication & Liaison
- Serve as the primary point of contact connecting the Sales team, internal Delivery team, and external vendor partners.
- Keep communication clear and current across email and Microsoft Teams so every stakeholder knows what is needed and when.
Follow-Up & Escalation
- Run timely, proactive follow-ups to keep projects on schedule.
- Identify at-risk timelines early and escalate delays or blockers for fast resolution, rather than letting them surface at the deadline.
Tracking, Data Integrity & Documentation
- Maintain accurate project records, schedules, and delivery status in Microsoft SharePoint and relevant client portals.
- Keep all project documents current, organized, and accessible for internal and client-facing visibility.
- Confirm deliverables are complete and correctly filed before final handoff to the client.
Reporting & Process Improvement
- Prepare and share standardized project status updates with management and team members on a regular cadence.
- Follow established delivery processes while flagging opportunities to tighten workflows and improve turnaround.
Required Qualifications
- Strong written and verbal English for professional coordination with international teams and clients.
- Proven ability to juggle multiple concurrent projects and deadlines without dropping details.
- Working proficiency in Microsoft Outlook, Teams, and SharePoint.
- Highly organized and self-directed, with a track record of working independently in a remote setting.
- Availability to work full-time hours aligned to U.S. Eastern Time.
Preferred Qualifications
- Prior experience in project coordination, operations, or delivery management.
- Experience coordinating across both internal teams and external vendors.
- Exposure to construction, engineering, or AEC-adjacent workflows (helpful for understanding project context; not required).
- Familiarity with project tracking tools such as Smartsheet, Monday.com, Asana, or MS Project.
- Experience supporting bid, proposal, or estimating workflows.
Education: High school diploma required; a Bachelor's degree in any discipline is a plus. Coordination skills and relevant experience matter more than field of study.
