The Role

As an Executive Assistant , you will perform administrative functions for SBRC President / CEO and other officers of the Group.

How you'll contribute

  • Adaptability Be able to think quickly and efficiently to handle some difficult situations for the team following bank guidelines to achieve the most applicable solutions on the problemsPerforms other tasks as may be assigned from time to time by the SBRC President / CEO and other unit Heads following bank guidelines and procedures to provide the requests on time
  • Analytical and Critical Thinking Provides reports for submission to different units by meeting the deadlines and must provide an accurate reportsAssists in the preparation of reports, research data and other necessary materials / documents as instructedObtains data or information and follow-up pending matters with other units / persons as instructed
  • Effective Communication Skills Able to communicate and coordinate to different unit and levels of the organization and external parties effectively based on the business ethics to maintain good relationship and businessAttends to visitors / clients of President / CEO and other Unit Heads,;

seeks clearance officers concerning appointment / meeting schedules and venueReceives all telephone calls for the President / CEO and other Unit Heads, (observing telephone courtesy standards) and other officers in their absence.

a. Takes messages, notes all pertinent information and relay to immediate superior or person concerned

Information / Records Administration Responsible for monitoring of expenses of SBRC against BudgetResponsible for the requisition of office supplies for SBRCResponsible for the requisition and liquidation of petty cash disbursements for SBRCResponsible for the checking of inventory of furniture & equipment assigned to SBRC.

Also responsible for requesting replacement of F&E including computer / printer units for SBRC personnelResponsible for other reportorial requirements as may be required by General Services Division, Human Resources Division, Information & Technology Group or other units as the need arisesHandles request from Office of Corporate Secretary / other groups on updating of SBRC’s authorized signatories as and when necessaryHandles transmissions of SBRC documents with other groups as instructed by the Pres.

CEO and other unit HeadsEnsures confidentiality of reports / documents and information prepared and maintained; develops a system to provide easy access to specific information and displays / delivers information quickly on demandEnsures that approval of all activities and their logistical requirements (e.

g. request for bank car; travel requirements, etc.) are properly documented. a.Constantly monitors and updates the activities’ timetable.

b.Disseminates complete, timely and accurate information of all concernedSafe keeps and maintains orderly files of the President / CEO and other Unit Heads, in accordance with the Bank’s Record and information Management System (RIMS)

  • Marketing Adeptness Aids in the execution of sales and marketing initiatives by coordinating with required bank units such as marketing and or the branches in order to increase the unit or product's visibility
  • Planning and Organizing Manages / handles the President / CEO and other Unit Head’s schedulesHandles all correspondences of the President / CEO and other Unit Heads and other Officers, as the case may be : a.

Logs, sorts and distributes / releases all incoming and outgoing mails / documents to concerned officers and clients of SBRC.

b. Drafts / composes and types letters / correspondences. c. Assists the Officers in SBRC in the preparation and dissemination of regular correspondences to clients and proposals to prospective SBRC clientsAssists the President / CEO and other Unit Heads and other officers, in the preparation of presentation materials to Board of Directors, Senior Management, various Committee and to clientsEnsures orderliness in work area at all times and in compliance with the Bank’s office 5s standardsResponsible in coordinating with GSD for special occasions involving SBRC marketing activities

What we’re looking for

  • Must have a Bachelor's degree Business Studies / Administration / Management, Commerce, Finance / Accountancy / Banking, Human Resource Management, Marketing
  • With at least 1-2 years of relevant work experience
  • Knowledge on administrative and clerical tasks - Ability to manage workload and assignments in order to meet work unit and project objectives and deadlines
  • Effective Strategic Planning and Organizing
  • Adept in Technology
  • Able to communicate effectively with all levels of the organization and external parties; keen to details
