We’re looking for an Executive Assistant and Office Manager who can bring structure, clarity, and forward momentum to a fast-moving luxury real estate business. This role requires someone who thrives in organized chaos, supports a high-performing executive with confidence, and understands how real estate and social media-driven personal branding work together.

What You’ll Work On
Executive Support and Daily Operations
Manage inboxes with speed and judgment, filtering important messages and clearing out noiseMaintain and manage calendars, appointments, showings, and personal commitmentsDraft and send client emails, confirmations, follow-ups, and remindersKeep priorities aligned and ensure nothing slips through the cracksPrepare notes, recaps, and action items from meetings and mastermindsReal Estate Administrative Support
Organize property files, documents, marketing assets, and listing-related materialsTrack active listings, upcoming listings, and buyer-side tasksCoordinate with vendors, stagers, photographers, and service providersAssist with scheduling open houses, walkthroughs, and property-related logisticsMaintain high accuracy in all documents and communicationsSocial Media and Content Coordination
Maintain a consistent content calendar for Instagram and related platformsTrack upcoming shoots, market updates, property spotlights, and lifestyle contentRemind and prompt the executive on recording deadlines and content opportunitiesAssist with light editing, formatting, captions, or uploads when neededMonitor engagement, organize assets, and keep content folders clean and up to dateAccountability and Workflow Management

3 to 5 years of experience as an Executive Assistant or Office Manager supporting senior or high-performing executivesExperience in real estate operations or a real estate-adjacent roleDeep understanding of Instagram content workflows, trends, and posting strategiesStrong written communication and professional email management skillsHighly organized and detail oriented with the ability to manage many moving piecesComfortable working independently and making judgment callsAbility to multitask, prioritize, and maintain composure in a fast-changing environmentNice to Have
