Role Overview – Remote Administrative Assistant

In this role, you will be an essential member of our operations team, combining high-level administrative support with hands-on coordination of lead delivery for global B2B campaigns. You will take ownership of the quality, accuracy, and timeliness of lead and data delivery for our valued SaaS and technology clients.

Key Responsibilities – Administrative Support, Lead Delivery Management, and Data Quality

  • Manage and track the complete lead delivery process: intake, validation, quality assurance, formatting, and timely dispatch to clients.
  • Conduct detailed data entry and verification to ensure all B2B lead information is accurate, complete, and compliant with internal/client requirements.
  • Format and upload lead data into multiple systems (Excel, Google Sheets, CRM, CSV files, or API integrations), ensuring client compatibility.
  • Closely monitor reporting dashboards, lead volumes, and campaign progress while promptly escalating and resolving issues or discrepancies.
  • Prepare transparent client updates, lead status reports, and delivery KPIs, ensuring all stakeholders have clear visibility of project outcomes.
  • Support troubleshooting and resolution of administrative and delivery-related challenges, collaborating with both clients and internal teams.

Required Skills & Qualifications

  • Administrative Excellence: Experience in virtual administrative support, project coordination, or operations assistance, ideally in a B2B setting.
  • Technical Aptitude: Proficient with spreadsheets (Excel, Google Sheets), CRMs, cloud-based tools, and various data file types.
  • Data Quality Focus: Track record of accuracy in data entry, quality checks, and process documentation—high attention to detail is essential.
  • Analytical and Process-Oriented: Able to spot discrepancies, recommend process improvements, and contribute to efficient lead management systems.
  • Excellent Communication: Strong written and verbal skills—with confidence in working with global teams, clients, and stakeholders.
  • Organizational Mastery: Capable of effectively juggling multiple priorities and projects in a fast-paced, results-driven environment.
  • Experience: Background in B2B lead generation, marketing operations, or administrative roles is highly advantageous.
