Job Expectation:
The Executive Assistant (EA) is expected to provide high-level, strategic, and
administrative support to the President/CEO, ensuring seamless operations
across executive, administrative, and organizational functions. The EA must
demonstrate exceptional judgment, confidentiality, and professionalism
while managing complex schedules, coordinating cross departmental
activities, and representing the Executive Office in interactions with internal
and external partners. The role requires someone proactive, detail oriented,
capable of anticipating needs, and able to navigate a fast-paced environment
with minimal supervision.
Key Responsibilities:
Manage and optimize the CEO’s calendar, prioritizing meetings,
commitments, and strategic engagements.
Oversee correspondence, communications, and documentation on
behalf of the CEO (emails, memos, briefings, reports).
Coordinate high-level meetings—including agenda preparation,
minutes, follow-ups, and ensuring action items are completed.
Act as liaison between the Executive Office and department heads,
partners, vendors, and external stakeholders.
Handle confidential information with the highest level of discretion
and integrity.
Prepare presentations, reports, and materials for executive
decision-making.
Support company initiatives, special projects, and research needed by
the Executive Office.
Organize travel, accommodations, itineraries, and event logistics for
the CEO and visiting stakeholders.
Track deliverables, deadlines, and priorities across multiple
departments to ensure alignment with executive directives.
Support operational and administrative requirements of the Office of
the President to improve efficiency and workflow.
Required Skills/Qualifications:
Minimum 9–10 years of experience as an Executive Assistant or in a
senior administrative role supporting Csuite executives.
Strong background in executive-level communication, project
coordination, and operational support.
Exceptional verbal and written communication skills; able to compose
professional correspondence and documents.
Advanced proficiency in MS Office, Teams, SharePoint, Calendar
Management tools, and digital productivity systems.
Strong organizational, time management, and problem-solving skills;
able to manage multiple priorities simultaneously.
High emotional intelligence, professionalism, and ability to thrive
under pressure.
Demonstrated ability to work with confidential information and
maintain strict discretion.
Strong interpersonal skills; able to collaborate across diverse teams
and departments.
Experience in healthcare, education, or technology sectors is an
advantage but not required.
Ability to think strategically, anticipate needs, and take initiative with
minimal supervision.
