About the Role:

We are looking for Purchasing Associates who will perform administrative and clerical duties for the Logistics - Procurement department.


Duties & Responsibilities:

  • Provide administrative and clerical support to the department, such as checking Ops Sheets, creating labels, and maintaining records.
  • Review and process order entries from customers, the sales team, and EDI systems.
  • Verify and ensure accurate information in terms of product specifications, pricing, and delivery schedules.
  • Create accurate purchase orders, confirm details and specifications with the sales team, and send them to suppliers.
  • Input purchase order information into company systems and Excel spreadsheets, including pricing details and order specifications.
  • Assist with obtaining compliance with paperwork and certificates as required by carriers and suppliers.
  • Coordinate daily communications with suppliers regarding orders, shortages, substitutes, discrepancies, or date changes, and relay information to the sales, freight, and accounting teams.
  • Update purchase orders and systems promptly to reflect any changes and ensure accuracy.
  • Familiarize yourself with customer and supplier preferences.
  • Support special projects and generate reports as requested by management.
  • Assist customers, vendors, partners, and suppliers through calls, email, chat, or other communication channels to resolve issues and provide updates.
  • Uphold company Mindset, policies, procedures, and operational standards.
  • Communicate effectively via email and Teams.
  • Must be able to work during US business hours depending on the business needs.
  • Perform other tasks as assigned.


Qualifications:

  • 3-5 years of experience in an administrative or clerical role, effectively managing tasks such as data entry, documentation, and maintaining organized records
  • Previous experience in processing orders, particularly in handling entries from various sources including EDI systems and collaboration with sales teams
  • Strong ability to verify product specifications, pricing details, and delivery schedules, ensuring accuracy and compliance with company standards
  • Familiarity in creating purchase orders, and liaising with the sales teams and suppliers
  • Ability to build and maintain strong relationships with customers and suppliers
  • Exceptional communication skills both oral and written
  • US-Based logistics experience required
