Job Description: Operations Manager/Executive Assistant
Work Hours: 20 hours per week to start, Central Europe Time Zone
Start Date: ASAP
Location: Remote

ABOUT THE ROLE

We are sourcing an Operations Manager and Executive Assistant on behalf of a marketing and sales agency that manages nine high-ticket sales clients. The agency owner currently handles invoicing, commission tracking, team coordination, and financial reporting personally. This role exists to take that operational weight off her plate entirely.

The right person is detail-oriented, financially literate, and comfortable working independently within established processes. This is not a junior administrative role. It requires someone who can own a process, flag issues proactively, and grow into broader operational responsibility as the business scales



Requirements

KEY RESPONSIBILITIES

Invoicing and Commission Tracking

  • Manually generate and send invoices across multiple client GoHighLevel accounts

  • Track and calculate commission splits across complex payment plan structures

  • Manage a six-month delayed commission structure, ensuring accuracy at each payment milestone

  • Monitor payment plan defaults and flag outstanding balances for follow-up

Financial Tracking and Reporting

  • Maintain Excel spreadsheets tracking sales wins, payment plan status, and commission records

  • Produce clear, accurate financial summaries for the agency owner on a regular basis

  • Identify discrepancies and resolve them without escalation where possible

Team Management Support

  • Coordinate weekly task delegation across a contractor team

  • Follow up on outstanding tasks and maintain accountability across team members

  • Communicate clearly and professionally with contractors on the agency owner's behalf

Executive Assistant Support

  • Manage administrative tasks that currently consume 8 or more hours of the owner's time per month

  • Maintain organised records, files, and workflows across agency operations

  • Anticipate needs and take initiative to keep operations running smoothly

Growth and Process Development

  • Shadow and document current invoicing and operational processes during onboarding week

  • Build and refine SOPs as the role develops to support future scaling

  • Take on increased responsibility and hours as handoff capacity grows


REQUIREMENTS

Essential

  • Prior experience in an operations, finance, or executive assistant role

  • Strong working knowledge of Excel for financial tracking and reporting

  • Familiarity with GoHighLevel CRM or similar client management platforms

  • High attention to detail, especially with numbers and payment tracking

  • Excellent written English and professional communication skills

  • Ability to manage multiple priorities independently and flag issues proactively

  • Comfortable working within Central Europe business hours

Preferred

  • Background in marketing, sales agencies, or high-ticket coaching environments

  • Experience managing or coordinating contractor teams

  • Prior exposure to complex commission structures or delayed payment tracking

  • Experience developing SOPs or process documentation
