The Communication and Administrative Assistant supports STRM by managing guest, client, and team communications while ensuring smooth operations across departments. This role primarily covers non-office hours for our Phoenix-based team and works closely with the Office Manager and Communications Supervisor.
Key Responsibilities include:
Communicating with guests, homeowners, and the STRM team to ensure clear, and timely updates
supporting positive guest experience while maximizing values for clients
Maintaining accurate tracking, documentation, and records across departments
ESSENTIAL FUNCTIONS

- Respond to guest messages in Guesty and Breezeway in very timely manner, including but not limited to:
- Answering initial guest inquiries
- Sending confirmed guests any required information for their reservation ( i.e. property information, property access, etc.)
- Communicating with guests during their stay as needed to maintain a positive experience
- Updating guests reservations as needed (altered reservation dates, pool heaters, access codes etc.)
- Assist guests with altering their reservation, including accurately editing associated fees and taxes for certain alterations
- Clearly escalate issues to manager on duty, as needed
- Document tasks from reservation alterations to inform the In-home field team of changes/needs (ex - early check-in, late arrival, extensions, pets on reservations, etc)
- Verify weekly vendor reports (i.e. pool cleaners, landscapers, etc.) and update STRM systems with information from reports
- Assist with Month End bookkeeping related tasks
- Receipt entry, gathering, bookkeeping related data entry
- Billable time entry
- Vendor invoice entry
- splitting receipts in Dext
- Reaching out to team to gather missing receipts/information
- TPT entry
- other tasks as needed
- Perform thorough Sex Offender checks on incoming guests to maintain safety and security protocols. This includes informing the supervisor of questionable results, documenting findings accurately and comprehensively.
- Complete guest review process, including, but not limited to asking for reviews, leaving reviews on guests, responding to guest reviews, and reporting issues left in guest reviews
- Report guest reported issues to the appropriate teams to help determine what properties or processes may need attention and updates
- Gather and maintain company and specific role metrics to track measurables in order to assist with reports for consistent verifications and company meetings
- Perform data entry in Excel, Guesty, Breezeway, Dext, and additional softwares as needed
- Assisting in Regular software/systems audits as needed including but not limited to: Guesty, QB, Breezeway etc.
- Attend regular meetings with your department and/or supervisor
- Attend webinars as needed
- Additional tasks, as they are needed
- Assist in marketing content creation, research and misc tasks as needed

- Able to use discretion, especially when evaluating guest communications (Needs to be slightly skeptical and read between the lines)
- Proficient and comfortable learning and working in software
