Executive Services Officer I Executive Support & Administrative Operations I Onsite
Ensures seamless executive operations and high-level administrative support by managing communications, calendars, reporting, and event coordination, enabling senior leaders to focus on strategic priorities.

What You’ll Be Doing:
Executive Support & Administrative Management
• Provide high-level administrative support including drafting emails, memos, and executive communications
• Manage and maintain accurate records, reports, and documentation
• Handle expense reporting, including credit card liquidation and reimbursement processes
• Prepare presentations and reports for executive use
Calendar, Communication & Coordination
• Manage executive calendars, prioritizing critical appointments and sensitive matters
• Organize meetings, send reminders, and coordinate logistics including catering when needed
• Act as the primary point of contact among executives, employees, clients, and external partners
• Ensure timely and accurate information flow across stakeholders
Events, Meetings & Travel Management
• Plan and execute EXECOM meetings, strategic sessions, and leadership events
• Arrange travel itineraries, accommodations, and transportation logistics for executives
• Take meeting minutes and generate post-meeting reports and summaries
• Welcome and screen visitors, ensuring professional and efficient handling of inquiries\
Reporting, Tools & Process Support
• Generate reports and dashboards to provide insights on key business metrics
• Manage CRM tools such as HubSpot and maintain data accuracy
• Support coordination with departments during client visits and events
• Assist in training administrative staff on company policies and best practices
What You Bring
Experience
• At least 3–5 years of experience as an Executive Assistant or in a similar role supporting senior leadership
Core Skills
• Executive support and stakeholder coordination
• Organizational and time management excellence
• Written and verbal communication skills
• Event planning and execution
• Analytical thinking and problem-solving
Tools / Systems
• Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Google Workspace
• Experience with ERP systems and CRM tools (e.g., HubSpot)
• Familiarity with reporting and dashboard tools
Education / Certifications
• Bachelor’s degree in Business Administration, Marketing, or a related field
Nice-to-Have
• Experience supporting C-level executives
• Background in multi-department coordination and client engagement
• Strong attention to detail with a proactive and solutions-oriented mindset
• Ability to handle confidential information with professionalism and discretion
