Ready to do work that actually excites you?We’re looking for a highly organized and detail-oriented Remote Event Operations Coordinator to support our Event Managers across multiple projects. In this role, you’ll take ownership of supplier coordination, bookings, logistics administration, and event documentation while working closely with our Australian-based team. This is a hands-on operations position with real responsibility, requiring someone who can manage deadlines, maintain a high level of accuracy, and keep projects moving efficiently behind the scenes. You’ll play a key role in the successful delivery of live events by ensuring operational processes, coordination, and administrative tasks are executed to a high standard.
What You’ll Do Supplier & Logistics Coordination:
- Source, obtain and compare supplier quotes.
- Liaise directly with Australian-based suppliers.
- Manage bookings (infrastructure and equipment hire, accommodation, vehicles).
- Track supplier deliverables and confirmations.
- Maintain supplier databases and pricing records.
Documentation & Operations Support:- Draft risk assessments and operational documents from templates.
- Prepare permit and compliance documentation.
Budget & Cost Tracking:- Track supplier costs against approved budgets.
- Flag cost increases or discrepancies.
Systems & Workflow Management:- Use Microsoft Teams, Planner, Outlook and Word/Excel daily.
- Maintain task tracking and timelines.
- Ensure structured and organised project workflows.
Communication:- Liaise with suppliers via phone and email.
- Use an Australian VOIP number for calls.
- Attend regular video meetings with the team.
Requirements
What You Bring We’re looking for someone who:
- Have 4–6+ years of experience in operations, logistics, or project coordination roles.
- Demonstrate strong written and spoken English communication skills.
- Have experience dealing directly with suppliers and coordinating operational requirements.
- Be confident working independently and making routine decisions with minimal supervision.
- Possess strong organizational, systems, and multitasking skills across multiple projects.
- Maintain a high level of attention to detail and accuracy in day-to-day operations.
- Come from a background in logistics and freight coordination, hospitality operations, facilities coordination, project coordination, or similar operational environments, although event experience is not required.
- Demonstrate strong judgement, problem-solving ability, and a proactive mindset beyond simple task execution.
- Be comfortable identifying risks, flagging cost issues early, and working calmly under pressure and tight deadlines.
- Be process-driven, detail-oriented, and accountable for outcomes and deliverables.
- Be proficient with Microsoft 365 tools including Teams, Planner, and the Microsoft Office Suite.
