The Opportunity
We are hiring a highly proactive Executive Assistant to support our owner, Steven.
This is not a passive, task-only role.
You will act as a force multiplier-owning communication, filtering information, and handling day-to-day operational tasks so the Owner can focus on project execution, estimating, and leadership.

Key Responsibilities
- Manage and coordinate day-to-day communication, including placing calls, sending follow-ups, and ensuring timely responses with clients, vendors, and internal team members
- Serve as a gatekeeper for the executive's inbox, organizing, prioritizing, and responding to emails while escalating high-priority items as needed
- Review and filter system notifications (e.g., JobTread) to identify critical updates, reduce noise, and ensure important items are actioned promptly
- Conduct research and synthesize information from trainings, webinars, and operational tools; provide clear summaries and actionable recommendations
- Execute assigned tasks independently, including problem-solving, gathering information, and reporting back with concise updates and next steps
- Provide administrative and operational support, handling routine and time-consuming tasks to improve overall efficiency and workflow
- Assist with process improvement efforts by identifying inefficiencies and helping implement simple, scalable solutions
- Support the operations team as needed, including providing backup assistance and taking on coordination and administrative responsibilities
- Ensure consistent follow-through on tasks and commitments, maintaining strong attention to detail and accountability across all assignments

- Steven's workload is noticeably lighter
- Inbox and notifications are consistently organized and actionable
- Follow-ups are happening without reminders
- Tasks are completed with minimal direction
- You are proactively identifying problems and solving them

Experience
- 3+ years of experience as an Executive Assistant or similar role
- Experience supporting busy executives or business owners
- Familiarity with construction workflows or tools like JobTread is a huge plus (not required)

- You are comfortable handling a high volume of communication and information
