Job Description
The Crewing Coordinator has a core function to ensure that all seafarers placed on board by the Company are properly qualified in accordance with International (STCW) and Flag State regulations, are medically fit and comply with Company Recruitment Policies and Customer Vessel requirements.
It is also important to verify the seafarer's compliance to Statutory regulations, and Company's SMS procedures.
The Crewing Coordinator reports directly to the Team Leader, Crewing & Recruitment in Manila,Philippines.
The main duties are:
1. Ensure all seafarers placed on board by the Company are properly qualified in accordance withInternational (STCW) and Flag State regulations, are medically fit, and comply with Company Recruitment Policies and Customer Vessel requirements.
2. Verify that seafarers comply with statutory regulations and the Company's SMS procedures.
3. Coordinate with crew, vessels, port agents, and other related parties to obtain relevant traveldocumentation required for crew relief plans and crew change activities.
4. Ensure all on-signing and onboard crew follow the requirements of the certificate and training matrix.
5. Facilitate flight bookings for on-signing and off-signing crew.
6. Facilitate the briefing meeting schedule of Top 2 officers and coordinate with the technicaldepartment.
7. Assist in updating crew personnel information in the crew management system and verify theaccuracy of crew documents and certificates.
8. Update crew embarkation and disembarkation reports in office systems and ensure crew informationis current before on-signing vessels.
9. Execute tasks related to crew employment, including promotions, resignations, and terminations.
10. Facilitate and approve crew reimbursement claims.
11. Verify and approve invoices related to crew change costs.
Qualifications

- Bachelor's Degree in Business Administration or a related field
- At least 2 years of experience in maritime/crewing
- Familiar with the requirements of STCW, MLC, DMW, etc.
- Strong team player with the ability to take initiative and demonstrate leadership when needed
- Highly organized, proactive, and able to manage multiple priorities efficiently
- Excellent interpersonal and communication skills
- Strong time management and results-driven mindset
- Knowledgeable in processing requirements with government agencies and various embassies
- Proficient in Microsoft Office, SharePoint, and Crew Database Management Systems
