Job description

At Core-VA Solutions, we partner with healthcare organizations and service providers across the United States, helping them build strong operational support systems that allow them to focus on what matters most — delivering exceptional care and meaningful services to the communities they serve.

We are currently looking for a Admin Assistant – US Healthcare to join our growing team and support one of our valued clients — a well-established US-based organization dedicated to empowering young adults with intellectual and developmental disabilities (IDD), autism, and similar conditions through specialized skill development and socialization programs.

What You’ll Be Doing

As part of the team, you’ll play a key role in supporting day-to-day administrative operations and helping maintain accurate records that directly support service delivery.

Administrative Support

  • Maintain and organize internal records, files, and important documentation
  • Assist with compliance-related paperwork and report preparation
  • Coordinate schedules and manage general administrative correspondence

Service Delivery Log Management

  • Prepare, review, and maintain accurate service delivery logs
  • Follow up on missing or incomplete documentation to ensure timely submission
  • Organize and file completed records for proper tracking and compliance purposes

Invoicing & Billing Support

  • Prepare and process invoices based on completed service records
  • Track billing details and assist with reconciliation when needed
  • Maintain accurate invoice records and transaction documentation

Attendance Tracking & Reporting

  • Monitor participant attendance records consistently
  • Generate attendance reports and identify discrepancies for review
  • Ensure attendance data is properly aligned with service and billing records

Requirements

What We're Looking For

We’re looking for someone who is dependable, organized, proactive, and comfortable managing multiple administrative responsibilities independently.

Qualifications

  • 2–4 years of experience working as a General Virtual Assistant, Administrative Assistant, or in a similar remote support role
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage recurring administrative processes accurately and consistently
  • Excellent written communication and professional correspondence skills
  • Comfortable working independently while staying accountable to deadlines

Tools & Systems Experience

You’ll stand out if you’re comfortable working with:

  • Google Workspace (Docs, Sheets, Drive, Calendar, Gmail) or Microsoft 365 (Excel, Outlook, Word, Teams)
  • Asana for task management and workflow coordination
  • QuickBooks or similar invoicing/accounting platforms (a strong advantage)
  • Video communication tools such as Zoom, Google Meet, or similar platforms
