We are seeking an experienced and highly organized Office Manager / IT & Administrative Support to join our Philippines team immediately.
This role is key to ensuring organizational effectiveness and efficiency within the Philippines office and across our global design studio.
Position Overview The Office Manager will support the Philippines office with a wide variety of administrative, organizational, and IT-related responsibilities.
Tasks include managing day-to-day office operations, coordinating meetings and travel, providing IT support (including liaising with the Toronto / Canada IT team), and ensuring the office’s technological and operational efficiency.
This position reports to the Principal in Canada and requires the new hire to work at our upcoming office in Cebu Business District, Philippines.
Two shifts are available : Day Shift : 9 : 00 AM – 6 : 00 PM (Cebu time) Night Shift : 9 : 00 PM – 6 : 00 AM (aligned with Toronto / Canada time) - Night shift employees will receive a 10% salary increase.
What You Will Be Doing Manage correspondence, including emails, letters, and phone calls, ensuring timely responses.
Schedule and coordinate meetings and appointments, working closely with the Principals’ offices in Canada and Singapore.
Prepare and edit documents, reports, and presentations.
Maintain filing systems, ensuring confidentiality and security of sensitive information.
Provide advanced calendar management to optimize productivity, troubleshoot scheduling conflicts, and prioritize critical tasks.
Serve as the professional and welcoming face of the office to visitors, vendors, and stakeholders.
Office Management Oversee daily office operations, supplies, and equipment maintenance.
Ensure the office is well-organized, stocked, and functioning efficiently.
Liaise with vendors, service providers, and building management to address operational needs.
Implement and maintain office policies and procedures.
IT Support Provide first-level IT support for the Philippines office (password resets, basic troubleshooting, software installation, hardware setup).
Coordinate with the Toronto IT team for escalations and system management.
Assess and recommend technological improvements or upgrades based on office needs.
Manage IT inventory, licenses, and maintenance schedules.
Ensure smooth setup and functioning of communication and collaboration tools.
Team Support Act as the main point of contact for internal and external stakeholders.
Coordinate onboarding for new employees in collaboration with HR and maintain employee records.
Plan and execute company events, meetings, and celebrations.
Foster collaborative relationships with employees, the Principals, and external partners.
Financial Tasks Assist in preparing budgets and tracking expenses.
Assist with invoices, receipts, and reimbursements.
Project Coordination Support special projects assigned by the President.
Gather and analyze data to provide actionable insights for decision-making.
Assist with fundraising reports and ad hoc requests.
What You Bring Along University degree preferably in Business Administration, IT, or a related field.
Minimum of 5 years of experience in office management or administrative support.
Experience in architecture, design, or technology environments is an asset.
Professional proficiency in spoken and written English is required.
Strong knowledge of office procedures, procurement, and IT coordination.
Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
Basic technical knowledge of software installation, troubleshooting, and hardware setup.
Exceptional time management, organizational, and multitasking skills.
Ability to handle confidential information with discretion and professionalism.
Outstanding interpersonal and communication skills, both written and verbal.
Proactive problem-solver with adaptability to changing business needs.
Self-motivated, trustworthy, and highly detail-oriented.
