Takeoff / Executive Assistant

We are looking for a highly organized and detail-oriented Executive Assistant with strong expertise in construction takeoffs to support both administrative and technical functions. This role combines executive support with estimating responsibilities ensuring smooth operations across project management client communication and construction documentation.

Key Responsibilities

• Perform construction takeoffs using specialized software (e.g. PlanSwift Bluebeam or similar).
• Prepare and maintain cost estimates material lists and project documentation.
• Support executives with scheduling correspondence and administrative tasks.
• Track project progress deadlines and deliverables to ensure timely completion.
• Coordinate with contractors suppliers and clients to gather and verify project requirements.
• Maintain organized records of bids proposals and contracts.
• Assist in preparing presentations reports and summaries for management.
• Handle confidential information with discretion and professionalism.

Qualifications

• Education: Bachelors degree in Business Administration Construction Management or related field preferred.
• Technical Skills:
  • Proficiency in construction takeoff software (PlanSwift Bluebeam AutoCAD or similar).
  • Familiarity with CRM tools (e.g. Pipedrive) and project management platforms.
• Experience:
  • Minimum 23 years of experience in construction estimating project coordination or executive assistance.
  • Background in construction or interior design industry preferred.
