Job description

Overview

We are looking for an experienced Clinical Operations Coordinator / Scheduling & Billing Coordinator to support the daily operations of a behavioral health practice. This role is responsible for clinician and client scheduling, care coordination, front-end billing, record management, and communication with clients and staff. The ideal candidate is highly organized, detail-oriented, and experienced in healthcare administration.


Key Responsibilities

  • Develop and maintain clinician and client schedules while ensuring appropriate client-to-clinician ratios.
  • Serve as the primary scheduling point of contact for clients and staff.
  • Schedule and monitor client assessments and reassessments to ensure they are completed on time.
  • Coordinate care for clients receiving services from multiple disciplines.
  • Arrange substitute clinicians when needed to maintain uninterrupted services.
  • Answer incoming phone calls and respond to client, family, and staff inquiries professionally and promptly.
  • Maintain consistent communication with families and staff through phone and email.
  • Maintain, organize, and audit client records to ensure accuracy and compliance.
  • Oversee front desk operations, including appointment management and incoming inquiries.
  • Verify insurance benefits, eligibility, and coverage updates.
  • Review patient records and collect client payments as needed.
  • Manage authorizations, track authorization usage, and ensure services remain authorized.
  • Assist with other administrative and operational tasks as assigned.

Requirements

  • Administrative experience, preferably in a healthcare, ABA, or behavioral health setting.
  • Required experience with CentralReach (EHR).
  • Experience with scheduling multiple clinicians and clients.
  • Knowledge of front-end medical billing, insurance verification, eligibility checks, and authorization management.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • High attention to detail and accuracy.
