Position Overview
We are seeking a detail-oriented and highly organized Executive Assistant to provide daily administrative support focused on workforce timekeeping and labor compliance. This role is responsible for ensuring employee time records are accurate, monitoring attendance and overtime trends, and maintaining reliable labor data for management. The ideal candidate has strong analytical skills, excellent attention to detail, and the ability to identify discrepancies while maintaining confidentiality.
Key Responsibilities
- Audit daily employee timecards for completeness and accuracy.
- Review employee punches for early arrivals, late departures, unauthorized overtime, and meal or break discrepancies.
- Flag timekeeping exceptions and communicate issues to designated managers.
- Enter and verify staffing agency employee time records.
- Investigate and resolve timekeeping discrepancies.
- Monitor projected weekly hours and identify employees approaching overtime thresholds.
- Notify department leaders of potential overtime concerns.
- Review missed punches daily and follow up on incomplete records.
- Track attendance patterns, including recurring missed punches, repeated exceptions, and consistent early or late clock-ins/clock-outs.
- Prepare attendance and labor trend reports for Human Resources and operational leadership.
- Verify employee schedules against recorded time punches.
- Identify duplicate, missing, or incomplete time entries.
- Maintain the accuracy and integrity of timekeeping records.
- Escalate unresolved discrepancies to the appropriate managers.
- Provide general administrative support as assigned.
Qualifications
- Previous administrative, executive assistant, or data entry experience preferred.
- Strong attention to detail and excellent organizational skills.
- Comfortable reviewing and analyzing data for accuracy.
- Ability to handle confidential employee information with professionalism.
- Strong written and verbal communication skills.
- Proficient with computers and able to quickly learn new software.
- Ability to prioritize tasks and work independently in a fast-paced environment.
- Reliable internet connection and a dedicated remote workspace.
