Procurement Officer

Job Description:

The Procurement Officer is responsible for sourcing, purchasing, and managing the timely delivery of materials, equipment, and services needed to support the company's warehouse operations.

This role plays a key part in establishing and maintaining an efficient warehouse by procuring warehouse infrastructure, equipment, tools, and operational supplies while ensuring cost-effectiveness, quality, and compliance with company standards.

The ideal candidate has experience in procurement within the solar, electrical, construction, engineering, or renewable energy industry and is knowledgeable in sourcing technical equipment, negotiating with suppliers, and coordinating with various departments to ensure uninterrupted operations.

Key Responsibilities:

Procurement & Purchasing

• Source, evaluate, and negotiate with local and international suppliers for materials, equipment, and services.
• Prepare purchase requests, purchase orders, and other procurement documentation.
• Ensure timely procurement of warehouse equipment, solar materials, electrical components, tools, PPE, and operational supplies.

Warehouse Setup & Development

• Lead the procurement activities involved in setting up a new warehouse facility.
• Coordinate the acquisition of warehouse infrastructure (e.g., storage racks and shelving systems, material handling equipment, forklifts and pallet jacks, office furniture and workstations, inventory storage solutions, safety equipment and PPE, warehouse tools and maintenance equipment).
• Obtain quotations from multiple vendors and conduct price comparisons to achieve the best value.
• Work closely with Operations and Warehouse teams to ensure all required equipment is available before warehouse commissioning.

Solar & Renewable Energy Procurement

• Procure materials used in solar and renewable energy projects.
• Coordinate with Engineering and Project teams to ensure purchased materials comply with project specifications.
• Monitor availability of specialized renewable energy products and identify alternative suppliers when necessary.

Supplier & Vendor Management

• Build and maintain strong relationships with suppliers and service providers.
• Conduct supplier evaluations based on quality, delivery performance, pricing, and reliability.
• Negotiate contracts, payment terms, warranties, and service agreements.
• Resolve supplier-related issues involving delays, quality concerns, or incomplete deliveries.

Inventory & Cost Control

• Coordinate with Warehouse and Inventory teams to maintain optimal stock levels.
• Monitor procurement budgets and recommend cost-saving initiatives.
• Prevent overstocking and stock shortages by monitoring purchasing trends.
• Track procurement expenses and prepare regular purchasing reports.

Documentation & Compliance

• Maintain complete procurement records, supplier contracts, quotations, and purchase orders.
• Ensure procurement activities comply with company policies and procurement procedures.
• Coordinate with Finance regarding invoices, billing concerns, and payment processing.
• Ensure purchased items comply with safety, environmental, and regulatory standards applicable to the renewable energy industry.

Qualifications:

• Bachelor's degree in Business Administration, Supply Chain Management, Logistics, Industrial Engineering, Electrical Engineering, or a related field.
• At least 2–5 years of procurement experience, preferably in the industrial sector.
• Experience procuring warehouse equipment and supporting warehouse setup projects is highly preferred.
• Knowledge of procurement processes, supplier negotiations, and contract management.
• Strong negotiation and vendor management skills.
• Excellent analytical and cost evaluation abilities.
