ABOUT OLIVIA
OLIVIA Professional Solutions is a leading VA staffing agency that trains and places virtual assistants with home care agencies across the United States. Our VAs power recruitment, scheduling, intake coordination, social media, and bookkeeping, making sure our clients always have the right caregivers for the seniors who depend on them. When you join OLIVIA, you join a team that invests in your training and your growth.
ABOUT THE ROLE
We are looking for an enthusiastic, compassionate, and highly organized Virtual Assistant to coordinate the schedules of caregivers and clients and keep care delivery running smoothly. This is a dual role: you will schedule and you will recruit, so you will always have variety and always have impact.
WHAT YOU WILL DO AS A SCHEDULER
Communicate clearly with caregivers, clients, families, and other parties. Keep caregiver and client schedules fully covered and care plans met. Match the right caregivers to shifts based on skill set and availability. Resolve scheduling and home care issues directly with clients and caregivers. Potentially conduct follow-up calls with prospects to schedule consultations. Enter and update caregiver, client, and communication data in the scheduling software. Process and complete shifts from the previous day. Quick response time to your team is expected during your shift. Represent OLIVIA with professionalism, ethics, and loyalty, protect client privacy and dignity in every interaction, and adhere to all legal and company requirements. Collect feedback to keep improving client satisfaction.
WHAT YOU WILL DO AS A RECRUITER
Post and refresh job ads weekly. Source caregiver candidates across platforms, including Indeed and our past applicant database. Contact applicants by phone, email, or text to build rapport, screen and qualify them, and schedule phone interviews. Remind applicants of interview times, reschedule when needed, and re-engage missed and dormant candidates daily. Guide applicants through assessments, applications, and hiring paperwork. Track recruiting metrics and use them to sharpen your strategy. Stay current on recruiting trends, watch the competition, and adjust to stay ahead. Meet a monthly hiring goals.
