About the Role

We are looking for a highly organized, detail-oriented, and proactive Leasing & Marketing Coordinator to support our Leasing, Marketing, and Property Management teams. This role is responsible for lead management, leasing administration, marketing coordination, reporting, and market research to help reduce vacancy rates and improve leasing performance.

The ideal candidate has previous experience supporting a U.S. Property Management company and is comfortable handling reports, managing leasing platforms, and maintaining accurate documentation while communicating professionally with prospective tenants and internal stakeholders.

Key Responsibilities

Leasing Administration & Lead Management

• Organize and track all incoming leasing inquiries.
• Maintain an accurate and centralized leasing lead tracker.
• Document all prospect communications.
• Send follow-up emails and messages using approved templates.
• Nurture inactive prospects through consistent follow-up.
• Maintain complete communication history for each lead.
• Prepare lead activity summaries and conversion reports.

Reporting & Analytics

• Prepare weekly leasing activity reports.
• Track lead sources and conversion metrics.
• Monitor response times and follow-up performance.
• Compile prospective tenant feedback and market observations.
• Prepare leasing reports for Property Managers and management.

Marketing Support

• Update and maintain online rental listings.
• Coordinate listing updates across multiple marketing platforms.
• Organize marketing photos and property marketing materials.
• Assist with marketing campaigns and promotional initiatives.

Market Research

• Research rental comparables.
• Monitor competing rental listings.
• Track rental market trends.
• Prepare pricing comparison reports.
• Monitor days-on-market and leasing activity.

Marketing Reporting

• Prepare marketing performance reports.
• Prepare vacancy reports.
• Provide marketing updates for Property Managers and property owners.
• Compile leasing and marketing statistics.
• Assist with monthly and quarterly marketing reports.

Administrative Support

• Prepare recurring reports for Property Managers, management, and property owners.
• Maintain leasing and marketing spreadsheets and dashboards.
• Organize department files and documentation.
• Track recurring administrative tasks and deadlines.
• Coordinate administrative requests between Leasing, Marketing, and Property Management teams.
• Assist with process documentation and workflow improvements.
• Identify repetitive tasks that can be standardized or automated.

Required Qualifications

• Exceptional English communication skills (written and verbal). Native or near-native fluency is required.
• Previous experience supporting a U.S. Property Management company.
• Hands-on experience using:
  • AppFolio
  • Apartments.com
  • Zillow
  • ShowMojo
• Strong experience preparing reports, spreadsheets, and dashboards.
• Excellent organizational and time management skills.
• Strong attention to detail and ability to manage multiple priorities.
• Proficient in Google Workspace and Microsoft Office.
• Able to work independently with minimal supervision.

Preferred Qualifications

• Experience supporting Leasing, Marketing, or Property Management teams.
• Knowledge of leasing workflows, rental market analysis, and vacancy management.
• Experience with CRM systems and lead tracking.
• Process improvement or workflow documentation experience is a plus.
