🌏Job context
Reporting to Territory Manager, the main role of the Admin & Supply Chain Lead is to ensure the smooth and efficient management of administrative, regulatory, logistics, inventory, and supply chain operations in the Philippines. Duties include tasks related to office administration and document control, customer invoicing and collection monitoring, business license and product registration coordination, importation and shipment tracking, inventory planning and control, third-party warehouse and logistics coordination, and timely delivery to customers.
🎯What you’ll do (missions)
1. Admin task
- Minutes of the meeting
- Employee details
- Safe keeping of documents- DA and Business related documents.
- Warehouse and office agreement
- Invoicing to customers
- All necessary documents needed
- Monitoring collections from Sales Reps
- Local purchasing, hotel and flight booking & arrangements
- Coordination to our HMO provider
2. Registration of legal and business licenses
- BOC license renewal with broker
- Business registration to BAI—application and renewal in coordination with external RA
- Safe keeping and monitoring of product registration.
3. Logistics
- To secure on time remittance of SI/DR
- Trucking services
- Delivery to customers
- Documents for counter- should be ready Tuesday morning to pick up by Bryan (collector). Objective is to shorten the counter or payment period.
- Daily coordination to third party truckers for deliveries
4. Inventory Management
- Coordination to third party warehouse
- Forecasting in coordination to TM
- Move in/out inventory protocol like FIFO procedures
- Managing damage and obsolete stocks—disposal and proper documentation
5. Supply Chain
- Importation- coordination with Broker
- Securing import permit and safe keeping of importation documents
- Monitoring of orders to OSL and OSA
- Monitoring of in transit shipment
📇 What you bring (hard skills, soft skills, level of education, experience, …)
✅ Degree in Finance/ Accounting / Business Administration or other relevant
✅ Minimum of 3 years’ experience, experience working for an international company is an advantage.
✅ Willing to work independently, with minimum supervision and can coordinate with regional and global head quarters colleagues.
✅ Computer literarate, proficiency in MS applications
✅ Result oriented with strong communication skills and strong entrepreneurial spirit
✅ Good communication skills and proficiency in the English language.
📍Job localization: Santa Rosa City, Laguna, Philippines.
