Purchasing and Operations (JL - 0812026 - PTSD)

Position: Purchasing and Operations

Number of hours: 20 hours/week
Schedule: German Time Zone

Key Responsibilities

• Follow up with suppliers regarding production supplies, materials, requirements, availability, and pending items.

• Source, develop, order, and manage accessories and production-related materials.

• Coordinate communication between customers, designers, suppliers, and internal teams.

• Follow up on design changes, improvements, approvals, and outstanding requirements.

• Maintain production lists, timelines, schedules, and key deadlines.

• Coordinate and monitor packing activities to ensure orders are prepared correctly and on schedule.

• Follow up on shipments, deliveries, and expected delivery schedules.

• Monitor outstanding orders and provide timely updates on production, shipment, and delivery status.

• Coordinate with suppliers and relevant internal teams regarding purchasing, production, logistics, inventory, and operational requirements.

• Manage orders and product information within the company system.

• Ensure order details, quantities, product information, and statuses are accurately entered and updated.

• Create and maintain article data, barcodes, and system information.

• Ensure all relevant information is properly recorded and updated in Odoo CRM.

• Maintain accurate records of orders, supplier communications, shipments, purchasing activities, and operational requirements.

• Organize meetings, invitations, agendas, and meeting notes.

• Support basic graphic/design work for presentations and approvals.

• Support marketing activities, including LinkedIn posts.

• Identify and follow up on delayed, incomplete, or pending orders.

• Provide timely updates regarding supplier, order, production, purchasing, and shipment status.

Requirements

• Previous experience in Purchasing, Procurement, Operations, Supply Chain, Logistics, Order Management, Production Coordination, or a similar role.

• Hands-on experience with Odoo CRM is required.

• Experience coordinating and communicating with suppliers or vendors.

• Experience managing or monitoring purchase orders, production schedules, shipments, deliveries, or packing activities.

• Familiarity with order processing, product information management, purchasing, and operational recordkeeping.

• Ability to proactively follow up with suppliers, customers, designers, and internal stakeholders.

• Ability to manage multiple orders, suppliers, priorities, and deadlines simultaneously.

• Strong coordination and problem-solving skills, particularly when handling delayed shipments, production issues, or supplier concerns.

• Basic knowledge of graphic/design tools is an advantage.

• Familiarity with LinkedIn and basic marketing activities is an advantage.

• Proficient with Microsoft Office, Google Workspace, email, spreadsheets, and online communication platforms.

• Comfortable working independently in a remote environment.

• Reliable internet connection and suitable equipment for remote work.

• Must be available during German business hours and willing to work on holidays when required.
