Job description

We are seeking a reliable and organized Executive Assistant to provide phone administrative and operational support. The ideal candidate has strong communication skills is comfortable handling calls and messages and can quickly learn simple software and routing systems.

Key Responsibilities

  • Answer inbound calls take accurate messages and return customer calls with provided information.
  • Relay important messages and updates to supervisors.
  • Receive resident information including addresses and enter it into routing software for driver assignments.
  • Manage basic email communication and administrative tasks.
  • Enter employee information into Excel/Smartsheet for daily payroll tracking.
  • Maintain accurate records and ensure information is entered correctly.
  • Assist with miscellaneous administrative and operational tasks as assigned.
  • Gradually assist with QuickBooks invoicing and other financial tasks after becoming familiar with the business and processes.

Qualifications

  • Previous experience as an Executive Assistant Administrative Assistant Virtual Assistant or Customer Service Representative preferred.
  • Excellent verbal and written English communication skills.
  • Professional and confident phone presence.
  • Strong attention to detail and accuracy.
  • Basic knowledge of email Excel and Smartsheet.
  • Comfortable learning new software and following established procedures.
  • Highly organized dependable and able to multitask.
  • Ability to communicate effectively with customers supervisors and employees.
  • QuickBooks experience is a plus but can be introduced after initial training and onboarding.
