Scheduling & Recruitment Coordinator – Home Care


Location: Remote

Employment Type: Full-Time Independent Contractor

Working Hours: Monday–Friday, 12:00 PM–8:00 PM EST


Job Overview

We are looking for a proactive and highly organised Scheduling & Recruitment Coordinator to remotely support a U.S.-based home care organisation.

The primary focus of this role is to ensure client shifts remain appropriately staffed, caregivers know where they need to be and when, and scheduling changes or call-outs are addressed quickly and professionally.

Alongside scheduling responsibilities, you will provide recruitment support by conducting preliminary screening of caregiver candidates and identifying suitable applicants to progress further in the recruitment process.

This is a fast-paced, people-focused position requiring strong communication, organisation and problem-solving skills, as well as the ability to remain calm when schedules change unexpectedly.

Key Responsibilities

Scheduling & Caregiver Coordination

  • Coordinate caregiver schedules based on client care requirements and caregiver availability.
  • Match available caregivers with client shifts, including clients requiring 24/7 care.
  • Communicate directly with caregivers regarding schedules, shift details and changes.
  • Monitor scheduled coverage and help ensure shifts remain fully staffed.
  • Respond quickly to caregiver call-outs and scheduling changes.
  • Contact available caregivers to secure replacement coverage for urgent or open shifts.
  • Confirm caregivers have arrived for scheduled assignments and follow up where necessary.
  • Maintain accurate and up-to-date scheduling information in WellSky Personal Care.
  • Answer incoming calls and appropriately assist or direct callers.

Recruitment Support

  • Conduct preliminary screening of caregiver applicants.
  • Assess candidates based on experience, availability and suitability.
  • Identify promising candidates to progress to the next stage of the recruitment process.
  • Maintain accurate notes and records of candidate screening conversations.
  • Support the development of a strong and readily available caregiver candidate pool.
  • Assist with ongoing caregiver recruitment activities as required.

Administrative Support

  • Maintain accurate records relating to scheduling, caregiver availability and recruitment activity.
  • Communicate scheduling challenges, staffing gaps and candidate progress to the relevant team.
  • Assist with additional administrative and operational tasks as required.


Requirements

Experience & Requirements

  • Previous experience in scheduling, workforce coordination, staffing, recruitment or healthcare administration.
  • Experience in home care, healthcare staffing or another high-volume scheduling environment is highly advantageous.
  • Strong telephone and written communication skills.
  • Confidence communicating with caregivers and resolving scheduling issues.
  • Strong organisational and time-management skills.
  • Ability to manage multiple priorities and frequent changes while maintaining attention to detail.
  • A proactive, solutions-focused approach to problem-solving.
  • Comfortable making outbound calls to caregivers and prospective candidates.
  • Strong computer literacy and confidence learning new systems.
  • Experience with WellSky Personal Care is highly advantageous but not essential.
  • Experience with caregiver recruitment or candidate screening would be advantageous.
  • Previous experience supporting a U.S.-based organisation or working U.S. business hours would be beneficial.

Remote Work Requirements

As this is a fully remote position, you must have:

  • A reliable computer suitable for full-time remote work.
  • Stable, high-speed internet connectivity.
  • A professional and quiet working environment suitable for regular telephone calls.
  • The ability to use VoIP/softphone technology for inbound and outbound calls.

What We're Looking For Previous experience in operations, scheduling, coordination, customer service, healthcare administration or another fast-paced environment. Experience managing multiple priorities and communication channels simultaneously. Strong verbal and written English communication skills. Strong attention to detail and accurate record keeping. Confidence communicating with customers, clients and other stakeholders. Strong problem-solving and decision-making skills. Ability to work independently, use initiative and take ownership. Ability to remain calm and professional when priorities change or urgent situations arise. Ability to learn new software, systems and processes quickly. Experience working remotely and managing responsibilities without constant supervision. Reliable computer equipment and stable internet connectivity suitable for full-time remote work. Willingness and ability to work flexible and rotating shifts, including after-hours and weekend coverage when required. Comfortable working on a full-time Independent Contractor basis. Experience within home care, healthcare, medical administration, workforce scheduling or care coordination would be advantageous but is not essential.
