Overview

We are a growing kitchen design and cabinetry company seeking a reliable organized and proactive Billing & Purchasing Coordinator to join our remote team. This role is central to ensuring smooth billing purchasing and order management processes while maintaining strong communication with clients vendors and contractors.

Key Responsibilities

• Prepare and send invoices quotes and payment requests
• Track deposits balances and outstanding payments; follow up as needed
• Place and monitor cabinet hardware and material orders
• Communicate with manufacturers vendors clients and contractors
• Follow up on deliveries backorders damages and order issues
• Maintain accurate records across multiple projects
• Handle emails phone calls and general administrative tasks

Optional Plus (Not Required):

• Manage social media accounts and create basic content
• Update website content and respond to customer reviews
• Create simple digital marketing materials using Canva

Qualifications

Required

• Highly organized and detail-oriented with excellent follow-up skills
• Strong English communication skills (written and verbal)
• Comfortable handling billing and payment conversations
• Experience in purchasing and order management preferred
• Proactive responsible and able to work independently
• Reliable internet connection and professional home-office setup
• Availability to consistently work during New York business hours (EST)

Preferred

• Prior experience in billing purchasing or administrative coordination
• Familiarity with cabinetry construction or design industry workflows
• Basic knowledge of digital tools (Canva website updates social media management)
