Administrative Assistant

Colliers Philippines is looking for a highly organized and detail-oriented Administrative Assistant to provide day-to-day administrative and operational support. This role is responsible for coordinating schedules maintaining records and documentation monitoring administrative processes and supporting the efficient operation of the team.

Key Responsibilities

• Assist in managing administrative processes including reimbursements liquidations invoicing and documentation requirements.
• Maintain accurate records trackers databases and reports.
• Organize and maintain both physical and electronic filing systems.
• Coordinate meetings appointments travel arrangements and other administrative activities.
• Prepare meeting materials document discussions and monitor action items.
• Handle incoming and outgoing correspondence phone calls and business documents.
• Ensure timely routing processing and safekeeping of records and administrative documentation.
• Assist in the preparation compilation and submission of required documents and reports.
• Maintain backup records and ensure proper document management practices.
• Coordinate office supply requirements and support general office administration.
• Monitor and follow up on administrative requests to ensure timely completion.
• Support compliance records management and documentation requirements in accordance with company policies and procedures.
• Provide general administrative and operational support to the team as needed.

Qualifications :

Qualifications

• Bachelors degree in Business Administration Office Administration Management or any related field.
• At least 1-2 years of experience in an administrative or office support role.
• Proficient in Microsoft Office applications including Excel Word PowerPoint and Outlook.
• Strong organizational and record-management skills.
• Excellent written and verbal communication skills.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
• Detail-oriented dependable and proactive.
• Strong coordination and interpersonal skills.
