Authorization Specialist - Virtual Assistant

This is a remote position.

Rockstar is hiring a full-time Authorization Specialist Virtual Assistant on behalf of a large, high-volume performance therapy practice.

This role is solely focused on authorization management, no insurance verification is involved. The VA will support the practice's authorization team, managing the authorization process from request through approval to keep patient treatment plans moving without delay.

Key Responsibilities

Authorization Management (Primary Focus)

• Submit and manage prior authorization requests for patient treatment
  
• Track authorizations through to approval, following up proactively on pending requests
  
• Monitor authorization status and flag any delays or issues that could affect patient care
  
• Maintain accurate, organized records of all authorization activity
  
• Communicate with insurance payers to resolve authorization-related issues
  
• Review clinical documentation to ensure it meets payer requirements before submitting authorization requests
  
• Track authorization expiration and visit limits, and initiate renewal requests before they lapse
  
• Appeal denied authorizations with appropriate supporting documentation
  
• Maintain a working knowledge of payer-specific authorization requirements and update processes as payer policies change
  

Administrative & Coordination Support

• Update patient records within Raintree to reflect authorization status
  
• Coordinate with clinical and front office staff on authorization-related scheduling needs
  
• Alert scheduling or clinical staff when an authorization is at risk of lapsing before a scheduled visit
  
• Communicate via Google Chat with the team throughout the day

Requirements

Prior experience in authorizations required (insurance verification experience not required for this role)

Proficiency in learning a new EMR system, Raintree experience preferred

Comfortable working Monday-Friday, 8:00 AM-4:30 PM Pacific

Strong attention to detail and follow-through on pending authorizations

Excellent written and verbal English communication skills

Highly organized with the ability to manage multiple authorizations simultaneously
