Salary: Php 80,000 to Php 90,000/monthly

Working Hours & Conditions: AU Working Hours and Holidays

ABOUT THE COMPANY:

The company is a dedicated financial advice practice managing approximately 125 ongoing advice clients and oversight of 150 Self-Managed Superannuation Funds (SMSFs). Our practice specializes in comprehensive SMSF advice, featuring investment portfolios across residential property, loans, equities (via Desktop Broker and Ausiex), Macquarie cash accounts, and personal insurance. Operating in structured 17-week cycle models, we deliver proactive, ongoing value through strategic client reviews, strong operational workflows, and expanding services—including upcoming mortgage broking capabilities. ROLE OVERVIEW:

We are seeking an experienced Paraplanner / Senior Executive Assistant to serve as the Financial Planner’s trusted operational partner.

This is a client-ownership role designed for an experienced paraplanner ready to step beyond traditional advice-document preparation and become an integral, client-facing anchor of our business. You will take ownership of an allocated portfolio of existing clients throughout their ongoing advice journey—managing pre-review preparations, maintaining proactive communication, uncovering strategic opportunities, and driving implementation. While the Financial Adviser retains statutory responsibility for advice recommendations, you will act as a proactive thought partner, bringing strategic ideas, observations, and solutions to the Adviser to optimize client outcomes and free up internal practice management leverage.

Responsibilities

  • Client Relationship & Process Ownership: Serve as a primary, familiar point of contact for allocated clients; manage the end-to-end advice lifecycle from pre-meeting setup to complete task execution so nothing falls through the cracks.
  • Proactive Pre-Review & Discovery: Contact clients prior to 4-monthly (transitioning to 6-monthly) review cycles to uncover life changes, concerns, and objectives; prepare comprehensive pre-meeting files and collect updated documentation (including SMSF tax/admin reconciliation items).
  • Paraplanning & Research: Research and analyze clients' existing positions across superannuation/SMSFs, investments (property, shares, cash), insurance, cash flow, and contributions to identify risks, gaps, and growth opportunities.
  • Advice Document Preparation: Draft accurate, compliant Statements of Advice (SOAs), Records of Advice (ROAs), and supporting documentation in alignment with Adviser instructions and recommendations.
  • Implementation & Task Coordination: Manage non-advice activities, assist clients with administrative forms, collect signatures/authorities, submit applications, and track outstanding implementation tasks to final completion.
  • Strategic Opportunity Discovery: Approach every client review with commercial curiosity; present actionable options, extra advice capabilities, and value-add strategies to the Adviser for consideration.
  • Client & Adviser Support: Conduct non-advice client meetings (via Zoom or in-person); keep both the Adviser and clients updated on task progress to maximize Adviser leverage and optimize workflow efficiency.

Requirements

  • Minimum 2+ years supporting an Australian financial planning, wealth management, or financial services practice
  • Deep understanding of the holistic advice process, regulatory documentation (SOAs/ROAs), and ongoing service workflows.
  • Strong exposure to or solid technical understanding of SMSF structures, property investments, share platforms (Desktop Broker/Ausiex), Macquarie cash management, and personal risk insurance.
  • Exceptional written and verbal communication skills with client-facing professionalism.
  • Proven track record of managing end-to-end task implementation and navigating complex workflow deadlines.

Preferred

  • Relevant RG146 compliance qualifications or a Tertiary Degree in Financial Planning, Business, Finance, or a related discipline.
  • Experience or interest in expanding skills into Mortgage Broking (sponsorship/support provided for relevant qualifications after settling into the role).
  • Familiarity with financial planning software, SMSF administration interfaces, and CRM workflow management systems.
