Job Title : Import Airfreight Coordinator

Job Summary :
The Import Airfreight Coordinator is responsible for managing and coordinating all import airfreight activities from pre-alert to file closure. This includes verifying documentation, coordinating with agents and brokers, arranging customs clearance and delivery, invoicing, and ensuring all processes comply with company standards and client requirements.
Key Responsibilities :
- Receive and review pre-alert documents from overseas agents.
- Register shipments in CargoWise, starting with the consolidation and ensuring that master and house bills of lading match accurately.
- Coordinate with breakbulk agents (Melbourne, Sydney, Brisbane) by sending master, manifest, and house bills for cargo lodgment.
- Send pre-alert notifications to clients and forward clearance documents to assigned customs brokers based on client profiles.
- Confirm if customs clearance is handled internally or by third-party brokers and coordinate accordingly (e.g., Expeditors, Impex Customs, Maersk).
- Track flight arrivals and follow up with breakbulk agents for outturn reports within 24 hours of arrival.
- Once clearance is obtained, issue invoices to clients or agents per agreed rates and arrange deliveries using local transport partners such as Solrac Transport, CITO, FRF / Direct Couriers, or Consol Alliance.
- Communicate with agents to obtain debit notes if required. For DDP or DAP shipments, issue pro forma invoices for profit share confirmation before final invoicing.
- Monitor tasks and update progress in the system to ensure completion and accuracy.
- Close files promptly once all costs have been received and processed.
Qualifications :
Minimum 2 years of experience in import, logistics, or freight forwarding, preferably in airfreight operations.Proficient in CargoWise or similar logistics management systems.Strong understanding of import documentation, customs clearance processes, and freight coordination.Excellent communication and coordination skills with internal teams, clients, and overseas agents.High attention to detail, accuracy, and time management.Ability to multitask and handle time-sensitive shipments.Skills & Competencies :
Knowledge of Incoterms (DDP, DAP, etc.)Strong organizational and analytical skillsCustomer-focused with problem-solving abilitiesProficient in Microsoft Office and email correspondenceAbility to work independently and meet deadlines
