Job description

Position Overview :

Our client is seeking a detail-oriented and proactive Operations Assistant to support the operational needs of a dynamic community-focused business. The ideal candidate will manage a wide range of tasks, including member operations, event coordination, and program / course administration. This role requires exceptional organizational skills, a customer-focused mindset, and the ability to work independently in a fast-paced, virtual environment.

We need someone who can be available during US ET hours (at least half the day).

Key Responsibilities :

1. Member Operations

  • Manage member accounts, including updates, transfers, cancellations, and refunds across platforms like Memberstack, Stripe, and Outseta.
  • Handle membership adjustments (downgrades, pauses) and resolve technical issues, including failed payments or disputes.
  • Ensure accurate and timely communication with members to address inquiries or issues.

2. Event Management

  • Create and manage events using tools like Lu.ma and Miitra.
  • Coordinate event promotion across communication channels, such as Slack.
  • Schedule automated reminders, segment member audiences, and collect post-event insights to enhance engagement.
  • 3. Program / Course Administration

  • Add participants to Slack and MindTickle while managing pre-course communications.
  • Oversee onboarding, attendance checks, and technical / logistical support for course participants.
  • Manage facilitator scheduling and communication.
  • Prepare post-course deliverables, including certifications and recordings, ensuring seamless follow-up for all participants.
  • Coordinate guest workshops and roundtables, handling scheduling, invites, and post-event communications.
  • Requirements

    Required Skills and Qualifications :

  • Communication Skills : Strong verbal and written communication in English. Able to convey complex ideas clearly and professionally to members, facilitators, and teammates.
  • Time Management : Exceptional ability to prioritize and handle multiple tasks efficiently within deadlines.
  • Critical Thinking : Capable of analyzing situations, troubleshooting issues, and offering solutions independently.
  • Tech Savvy : Proficient in tools like Slack, Zoom, Asana, Stripe, Lu.ma, and AI tools for task automation and efficiency.
  • Attention to Detail : Accurate and meticulous in handling member data, event details, and course logistics.
  • Project Management : Familiar with organizing, tracking, and streamlining processes to achieve team goals effectively.
  • Preferred Experience :

  • Experience in customer service, event coordination, or program administration.
  • Familiarity with community platforms, membership systems, and course delivery tools.
