Job Summary :
The Data & Workflow Automation Specialist ensures our client’s internal systems — especially Asana and its connected integrations — run smoothly, accurately, and efficiently.
This role is a key part of our internal operations team, acting as the “human link” between our automated workflows and real-world business processes. You’ll validate that automations fire correctly, troubleshoot any failures, and continually enhance our client’s workflow automation environment.
You’ll be hands-on in Asana administration, data validation, and integration monitoring, helping ensure the right data moves to the right place at the right time.
Responsibilities :
Asana Administration & Workflow Management
- Maintain and administer our client’s internal Asana instance, ensuring consistent structure, naming conventions, and best practices.
- Manage internal projects, tickets, and workflows within Asana to support daily operations.
- Create, update, and manage Asana templates used across teams (Marketing, Operations, Customer Service, Consulting).
- Work with internal stakeholders to continuously improve Asana’s usability and efficiency.
Automation & Systems Integration
Monitor and validate automated workflows across platforms such as Asana , Zapier , Odoo and our Cilantro and Serrano PlatformsBe the “human quality gate” ensuring automations trigger properly and data flows accurately between systemsIdentify and review AI workflows to manage and optimise - reducing errors.Investigate and resolve workflow or integration errors, escalating to the development team when needed.Document integration logic and dependencies between systems for ongoing reliability.Collaborate with our Australian Product and Sri Lankan development teams to test and deploy new integrations or automation updates.Data Management & Quality Assurance
Maintain accuracy and consistency of data between systems (Asana, Odoo, PaperCut, CRM, etc.).Perform periodic data audits to identify and correct inconsistencies.Generate basic reports or dashboards to monitor automation health and workflow performance.Develop SOPs for routine data maintenance and automation validation tasks.Continuous Improvement
Proactively identify process bottlenecks and opportunities for further automation.Partner with senior consultants to design, test, and implement new internal automation workflows.
Document changes to systems and workflows to ensure transparency and reproducibility.Requirements : Essential
Strong practical experience using Asana or similar systems (advanced features preferred : custom fields, rules, forms, portfolios, etc.).Experience with automation tools such as Zapier , Make (Integromat) , or similar platforms.Strong data literacy and attention to detail — able to trace and validate data flows across multiple systems.Excellent problem-solving and troubleshooting ability.Strong written and verbal communication skills in English.Ability to work independently across multiple systems and teams.Desirable
Familiarity with Odoo or other ERP / CRM systems.Experience managing API-based integrations or using webhooks.Understanding of SaaS business workflows (renewals, onboarding, project management).Experience with channel-based software business processes.Basic technical literacy (e.g. ability to interpret JSON, map fields, or test API calls).Why Join our Client
