Job Description :
Manage clinician calendars and patient appointments for rTMS, PMS, and consultations.
Ensure Carebit and Google Calendar are fully synchronized while observing session timing and rest requirements.
Coordinate logistics for both in-person and virtual sessions.
Handle new enquiries and referrals with professionalism and empathy.
Send intake forms, collect required details, and allocate patients appropriately.
Maintain accurate and compliant patient records within Carebit.
Prepare and send invoices via Revolut Merchant.
Track payments and confirm appointments upon receipt.
Manage private insurance claims — including reimbursement forms, supporting documents, and insurer communication.
Verify patient eligibility and authorisation, maintaining detailed claim and payment records.
Send appointment confirmations, reminders, and follow-ups using standard templates.
Keep patient documents, consent forms, and letters up to date.
Draft post-consultation letters for clinician review.
Maintain consistency and accuracy across all administrative processes.
Promptly escalate clinical or technical issues to the appropriate team members.
Qualifications :
Proven experience in clinical administration or healthcare operations
Strong understanding of insurance claims and reimbursement workflows
Excellent written and verbal English communication skills
Exceptional organizational skills and attention to detail
Demonstrated reliability, professionalism, and discretion
Able to work UK Hours
Familiarity with Carebit, Revolut, or similar healthcare and payment platforms
Prior experience in private healthcare or neuromodulation-based services
Confidence in working remotely across multiple systems, clinicians, and time zones
