The Leasing Admin Assistant (Reliever) is responsible for assisting in the overall leasing operations, including handling lease inquiries, facilitating negotiations, processing lease requirements, monitoring tenant compliance, and ensuring accurate billing and reporting. The role provides vital support in tenant relations and documentation to ensure smooth leasing transactions and adherence to company policies.
Key Responsibilities :
1. Lease Applications – Assist prospective tenants by accommodating inquiries, evaluating Letters of Intent (LOI), and endorsing for approval.
2. Lease Negotiations – Propose approved rates and conduct ocular inspections to match tenant needs with available spaces.
3. Lease Requirements – Verify validity of tenant-submitted documents and secure necessary permits for construction / renovation.
4. Terms of Reference (TOR) & COO – Coordinate with admin for the preparation of TOR and Certificate of Occupancy once lease terms are finalized.
5. Financial Compliance – Ensure collection of security deposits and construction bonds before tenant operations.
6. Tenant Database – Maintain and update the Sunshine Mall tenant masterlist monthly.
7. Billing & Statements of Account (SOA) – Prepare, issue, and monitor monthly billing, recoveries (CUSA, electricity, water), and ensure accurate recording of payments.
8. Tenant Pull-out Process – Check and approve tenant pull-out permits, ensuring all outstanding balances are settled.
9. Financial & Operations Reports – Submit required financial reports, tenant consumption recoveries, and CWT (2307) summaries to the Sunshine Mall and Aprisa Teams on schedule.
10. Tenant Support – Address tenant concerns, requests, and ensure compliance with leasing and property policies.
