This is a remote position.

About the Role

As a

Client Success Coordinator , you will play a key role in nurturing relationships between our clients and their virtual assistants (VAs). You’ll ensure that clients receive consistent, high-quality support and that their goals are met through seamless delivery. You will also assist the Head of Delivery with SOP development and operational improvement initiatives. This is a

90-day project-based role   with the potential to transition into a

full-time or regular position   based on performance and company growth.

Key Responsibilities

Client Management & Support

  • Assist Head of Delivery in proactively managing client relationships to ensure satisfaction and retention.
  • Assist Head of Delivery in conducting regular check-ins with clients and VAs to assess performance and address concerns.
  • Handle client inquiries and issues promptly, ensuring clear and professional communication.
  • Support client onboarding by guiding them through service setup, introductions, and expectations.
  • Identify opportunities for upselling or optimising client engagement with additional services.

Delivery Coordination & Support

  • Collaborate closely with the Head of Delivery to monitor client-VA performance and outcomes.
  • Assist with internal coordination to ensure smooth service delivery and task completion.

  • Zoom , taking notes and ensuring action items are followed through.

    SOP Development & Process Optimization

  • Document and update
  • Standard Operating Procedures (SOPs)

  • Identify process gaps and recommend improvements to enhance efficiency and client experience.
  • Use
  • ClickUp   and

    Google Suite   to organise documentation, track progress, and maintain client records.

    Reporting & Insights

  • Assist in preparing client performance summaries and engagement reports.
  • Track key client metrics and flag potential risks or opportunities.
  • Requirements

    2+ years of experience   in customer success, account management, or client-facing coordination roles.

  • Proven background in
  • SOP development   or process documentation.

  • Excellent written and verbal communication skills.
  • Strong organisational skills and ability to manage multiple priorities.
  • Tech-savvy and experienced with
  • ClickUp, ChatGPT, Fathom, Google Workspace, and Zoom .

  • Confident working independently and collaboratively in a remote team setting.
  • Experience in the
  • outsourcing, staffing, or virtual assistant industry   is highly desirable.

    You’re someone who thrives in client-facing roles, loves structure, and is passionate about creating systems that make people’s jobs easier. You care deeply about client satisfaction and know how to balance empathy with operational excellence.

    2+ years of experience   in customer success, account management, or client-facing coordination roles.
