Overview
The Executive Assistant provides high-level administrative, operational, and basic financial support to ensure the Directors daily activities run efficiently. This role requires strong organizational skills, proactive communication, and the ability to work closely with the Directoroffering feedback, maintaining accountability, and helping drive key initiatives forward.
Key Responsibilities
Executive Support
Manage the Directors calendar, including scheduling meetings and coordinating appointments.
Arrange travel itineraries, site visits, accommodations, and logistics.
Prepare and organize reports, presentations, job updates, and business documents.
Track tasks, deadlines, follow-ups, and project milestones to support seamless operations.
Perform general administrative duties such as filing, correspondence, expense processing, and preparing meeting minutes.
Communication & Coordination
Serve as the primary point of contact for internal teams, contractors, suppliers, and clients.
Ensure clear and timely communication across departments and stakeholders.
Work closely with the Director by providing feedback, supporting priorities, and ensuring accountability on deliverables.
Finance, Costing & Job Tracking
Monitor and record expenses for ongoing jobs, including materials, labor hours, and third-party costs.
Track project budgets, job costing, and variances to support financial decisions.
Prepare cost summaries, basic dashboards, and expenditure reports using Excel.
Maintain trackers for budget monitoring, job costing, and resource allocation.
Coordinate with Accounting or Finance teams to ensure accurate and timely processing of expense documentation.
Document & Design Support
Assist in preparing visually appealing presentations and materials (basic design skills required).
Maintain well-organized documentation, records, and reference files.
Qualifications
Bachelors Degree in Business Management, Finance, or a related field.
Strong proficiency in Microsoft Excel (formulas, pivot tables, data organization, basic dashboards).
Experience in job costing, basic finance tracking, or monitoring operational expenses is an advantage.
Excellent written and verbal communication skills.
Highly organized, detail-oriented, and able to manage multiple priorities effectively.
Proficient in Microsoft Office, Google Workspace, and basic design tools (e.g., Canva, PowerPoint).
Ability to work independently, exercise good judgment, and maintain confidentiality.
Experience in administrative, executive assistant, or coordination roles is an advantage.
