This is a remote position.

Hours :  1pm-5pm >

20 hours per week (flexible based on workload)

About the Role

We are seeking a detail-oriented and organized Medical Administrative Assistant to support our therapy clinic’s daily operations. This role is vital in ensuring that clients, therapists, and insurance providers are coordinated efficiently and professionally.

Key Responsibilities

Client Communication :

Answer incoming calls and respond to voicemails promptly and professionally.

Schedule new client intakes and match them with the appropriate therapist.

Provide friendly, informed assistance to clients regarding appointments and required paperwork.

Administrative Coordination :

Track client intake paperwork and ensure all forms are completed before the first appointment.

Maintain organized records and documentation.

Assist therapists and administrative staff with general office tasks as needed.

Insurance and Billing Support :

Contact insurance companies to verify coverage and authorization for services.

Follow up on denied claims or unpaid balances.

Chase down payments and assist in managing billing discrepancies.

Qualifications

Prior experience in a medical, behavioral health, or administrative office is preferred.

Strong organizational and time management skills.

Excellent phone etiquette and interpersonal communication skills.

Ability to handle confidential information with discretion.

Experience working with insurance companies (authorizations, claims, coverage verification) preferred.

Proficiency with office software (e.g., Google Workspace, Microsoft Office, or EMR systems).
