Job Highlghts :

  • Contract type : Independent Contractor
  • Schedule :   40+ hours per week with multiple positions available;  Monday - Friday 6.00am - 4.00pm - MDT

Job Description

As a   Virtual Concierge Professional , you’ll deliver high-touch, five-star service to busy professionals, executives, and families. This is not a typical customer service position — you will take full ownership of each client request, ensuring a seamless experience from initial intake to final fulfillment.

You’ll research, coordinate, and manage diverse service requests while maintaining exceptional communication and attention to detail. Supported by integrated systems and AI tools, you’ll represent premium brands with professionalism, warmth, and precision.

Responsibilities

Service Intake & Communication

  • Promptly and professionally respond to inbound requests via phone, email, text, or live chat across multiple branded portals.
  • Use   Zendesk’s multi-brand, omni-channel CRM   (or similar) to manage all communications, documentation, and follow-up actions.
  • Maintain a refined, polished, and empathetic tone consistent with five-star service standards.
  • Accurately gather, clarify, and confirm all service request details.
  • Provide proactive and transparent updates to clients throughout each request’s lifecycle.
  • Fulfillment Coordination

  • Research, source, and arrange all aspects of service requests with precision and discretion.
  • Coordinate with vetted vendors, service providers, and fulfillment partners to ensure timeliness and quality.
  • Follow through until service completion and client satisfaction are fully confirmed.
  • Uphold confidentiality and protect client and company data at all times.
  • Core Service Areas

    You’ll manage or coordinate requests across a wide range of services, including :

  • Travel & Leisure :   vacation planning, flights, hotels, private transportation, event tickets, entertainment.
  • Lifestyle & Personal Services :   restaurant reservations, gift sourcing, spa and wellness bookings, childcare, errands.
  • Home & Residential Services :   vendor referrals, maintenance scheduling, relocation support, and package coordination.
  • Business Support :   meeting and event planning, research, and administrative coordination.
  • Health & Wellness :   fitness referrals, medical appointment scheduling, eldercare coordination, lifestyle balance support.
  • Reminder & Assistance Services :   appointment confirmations, date reminders, and ongoing personal task support.
  • Performance Expectations

  • Deliver every experience with attentiveness, efficiency, and elegance.
  • Anticipate client needs and provide proactive, personalized solutions.
  • Communicate clearly, empathetically, and promptly.
  • Ensure documentation, follow-up, and completion tracking are always accurate.
  • Protect confidentiality and uphold all professional and contractual standards.
  • Represent the client brand with distinction and professionalism in every interaction.
  • Requirements

  • Fluent in   U.S. English , with exceptional verbal and written communication.
  • Proven   proficiency in Zendesk   or similar multi-brand, omni-channel CRM systems.
  • Strong   multitasking, research, and coordination   skills.
  • Professional demeanor and excellent interpersonal judgment.
  • High   attention to detail, accuracy, and follow-through .
  • Ability to work independently while maintaining confidentiality and composure.
  • Preferred Experience :

  • Minimum   2 years of experience   in concierge, hospitality, executive assistant, or premium customer service roles.
  • Prior work with   corporate, residential, or white-label concierge programs  is preferred but not required.
  • Background in   luxury services , property management, or travel coordination is preferred but not required.
  • Experience managing   complex, multi-step service requests   autonomously.

    Concierge professionals are expected to embrace technology as a complement to human professionalism. Intelligent use of AI platforms enhances accuracy, tone, and presentation, ensuring every client message is   impeccably written and client-ready .

    All correspondence should reflect refinement, empathy, and precision — maintaining the highest standards of confidentiality and brand representation.

    Technical & Environmental Requirements

    Given the remote nature of the role, all candidates must have :

  • A   quiet, professional workspace   suitable for phone and video communication.
  • A   reliable high-speed internet connection   for seamless CRM and communication tool performance.
  • A   modern, high-performance computer system   capable of efficient research, documentation, and multitasking.
  • All Concierge Professionals are expected to embody the refinement, discretion, and excellence associated with luxury-level service. Every written and spoken communication must reflect professionalism, clarity, and warmth.

    Professionals are encouraged to use   AI-powered tools   (such as   ChatGPT ) to ensure all written correspondence — including emails, messages, and reports — is polished, grammatically flawless, and stylistically aligned with five-star communication standards.
