Role Summary
We are seeking an Admin and Marketing Virtual Assistant (VA) to provide operational and marketing support while also serving as a personal manager for the brand / author. This role requires a highly organized, proactive, and tech-savvy individual who can manage daily administrative tasks, coordinate marketing activities, and support brand-building initiatives with minimal supervision.
The ideal candidate has strong communication skills, excellent attention to detail, and experience managing calendars, social media, and CRM systems.
Key Responsibilities
Calendar & Email Management – Maintain the author’s schedule, coordinate meetings, and manage inbox correspondence.
CRM & Contact Management – Keep an updated database of author network contacts, media / press, influencers, and book launch partners.
Social Media Scheduling & Posting – Manage brand handles, schedule posts, and ensure consistency across platforms.
Content Repurposing – Adapt blogs or newsletters into social media posts or other promotional materials.
Travel & Event Coordination – Handle bookings and logistics for speaking engagements, author tours, and podcast appearances.
Campaign Tracking – Monitor progress for launches, events, and collaborations.
Talent Outreach & Brand Deals – Pitch the Client to brands for partnerships and collaborations.
Podcast Placement Strategy – Identify and secure podcast appearances aligned with brand goals.
Speaking Engagement Management – Set up and manage accounts on MySpeakingAgent.com and other speaker directories (SpeakerHub, SpeakerMatch, eSpeakers, etc.).
Requirements
Skills & Qualifications
Excellent written and verbal communication skills (US-based or strong English proficiency).
Proficiency in Google Workspace , Asana / Trello , and scheduling tools .
Experience with CRM systems (preferably SiteGround-based).
Familiarity with social media management and email marketing tasks.
Highly organized, proactive, and able to anticipate needs before they arise.
Performance Indicators (KPIs)
Email response time : under 24 hours
Calendar accuracy : zero conflicts
Adherence to social media and newsletter schedules : 100%
Experience in Marketing / Media / Publishing Industry
Work Schedule
Part-time : 10–20 hours per week (with potential to increase based on performance and need), Eastern Time Zone
