Duty 1 : Project Support and Management
Project InitiationLeads scope reviews - drives the conversation, provides overview of the team including processes, capabilities and purpose; Understands or uncovers the real need for the project; uses technical and business knowledge to have an initial understanding of the value, impact and complexity of the project
Leads the gathering, analyzing and clarifying customer requirements; works with technical teams to gauge complexity of the requestProject PlanningCreates an overall plan for the project (ex : quad charts, project charter)
Leads the planning of marketing projects w / straight forward business rules, high quantity low complexityPlans resource requirements to meet the budget provided by project sponsor - man hours and materials (hardware / software).Leads planning sessions to create process maps, user journey maps, mock-ups; facilitates prioritization of business-critical requirementsBreaks down project objectives into phase, milestone or deliverables and cascades them to the teamDecides on how to handle scope creeps by analyzing importance and impact to overall project; communicates the decision to the stakeholders and negotiates if neededRecommends and negotiates solution and development timeline to the stakeholders; gets their buy-in and commitment to any deliverableAnalyses risk and mitigate project circumstances base on impact assessmentLeads project milestone and gate reviewsProject ExecutionFacilitates approval of standards, design guidelines and implements them with the team
Keeps track of costs incurred in completing projects, reports changes on forecasted costs and project returns timely and accurately through cost tracking mechanisms in place.Recommends to stakeholders by translating, enhancing and consolidating information into forms that can be used for decision making of the top management.Secures commitment on critical deliverables from different stakeholders such as marketing, training to align with the project launch plansCreates, recommends and seeks approval for marketing tool / project in conjunction with technical and design teamsFacilitates meetings for project review with the Project Team.Evaluates and proposes roadmap of requirements / phased approachEscalates specific issues and provides recommendation to customers to address them.Duty 2 : Internal Operations Management
Ensures the Service Level Agreements are on target.Leads goal-setting review to ensure challenging and stretched goals and assignments for the team in support of the overall businessAccountable for the on-time and proper recruitment to fill job vacancies to ensure service levels and appropriate staffing are carried on (business continuity)Submits period reports on metrics / KPIs / Dashboards to determine performance against the SLAs of the team.Performs staffing projection complementing work volume growth and forecast and make necessary proposals to business unit.Monitors schedules of employees to ensure proper shift coveragePlans, assigns and directs work to the employees in cooperation with the manager to manage workload and projectsAnalyzes, explains and addresses variances between current and target performanceImplements policies on the filing, documenting and approval of time and attendance administrationIdentifies and documents changes in the roles, responsibilities, accountabilities and workload of employees to properly determine volume headcount ratio, work scopeDuty 3 : Staff Management and Development
Evaluates individual performance and conducts performance discussions to keep everyone on trackPerforms regular coaching to enhance the performance of staff and encourage participation in decision making.Adheres to the regularization, performance appraisal, quarterly performance appraisal, rewards and recognition and other people related policies and guidelines.Determines employee's capabilities and improvement areasIdentifies functional / behavioral training & development needs of employees to support team goals and objectivesCompletes individual development plans of employees based on the company guidelines and implements agreed training / development activitiesPlans, organizes, and coordinates team activities to enhance team camaraderie and employee engagementMonitors adherence to the ethics and code of conduct and implements disciplinary action in compliance with the requirement for due processDuty 4 : Internal Communication
