AU RTO Quality Assurance and Administration (Remote)

About the Role
This is a hands-on administration and coordination role, supporting the Quality and Compliance team by keeping documentation, systems, and records clean, current, and compliant. You'll be the engine behind our Quality Management System—making sure files are formatted, registers are updated, audit actions are tracked, and workforce records are in top shape. You won’t be leading strategy—but you’ll be making sure everything that supports it runs like clockwork.Your Core Responsibilities :
Document Control & QMS Admin.Format and update QMS documents for publication.Maintain version control logs and document registers.Ensure consistent file naming and storage across systems.Support updates to document control protocols.Compliance Support
Maintain audit registers and reporting logs.Track audit evidence submissions and follow-up actions.Assist in preparing documentation for audits.Risk and Governance Admin
Keep the Risk Register up to date.Monitor and log governance-related action items.Compile reports for leadership based on tracked data.Continuous Improvement Tracking
Maintain the Continuous Improvement Register.Record supporting evidence of completed actions.Alert managers to recurring or overdue items.Workforce Records
Monitor staff, trainer, and assessor credential compliance.Run checks on expiring qualifications or missing records.Follow up with teams to resolve gaps.Stakeholder Documentation
Maintain accurate records of consultation activities.File industry and community engagement notes.Product Documentation
Support updates to training product documentation.Ensure files reflect the latest training standards.Requirements

You’ve spent 3–5 years working in an RTO or education compliance environment.You’ve helped coordinate audits and supported compliance systems.You’ve worked with Quality Management Systems (QMS) or document control processes.You’ve kept registers clean and action items tracked.You’re confident using Microsoft 365 tools—SharePoint, Teams, Lists, Power BI.You hold (or are working toward) a qualification in Business, Compliance, or Training & Assessment (desirable but not essential).About the Culture YOU Thrive In

Keep QMS documentation up to date, formatted, and version-controlled.Maintain compliance and audit registers with accurate records.Track and follow up on evidence submissions and compliance actions.Manage workforce capability data (e.g., credentials, training status).Prepare reports, logs, and documentation for internal / external review.Coordinate stakeholder documentation and meeting records.Monitor training product documentation for currency and compliance.How YOU Will Be Measured :

Qualification in Training / Assessment, Compliance, or Business is desirable. Skills and Knowledge
Strong knowledge of the VET Quality Framework and Standards for RTOs 2025.Sound understanding of RTO operations, audit processes, and compliance requirements.Highly organised with excellent attention to detail and analytical capability.Strong written and interpersonal communication skills.Confident in Microsoft 365 (SharePoint, Lists, Teams, Power BI).Ability to work independently, prioritise multiple tasks, and meet deadlines.Collaborative and solutions-focused approach. ExperienceMinimum 3–5 years’ experience in an RTO compliance or quality role.Experience coordinating audits, compliance systems, or QMS processes.
