Role
We are looking for an Senior Case Manager / Paralegal to be part of our team.
Main Responsibilities
- Billing & Client Accounts : Monitor, review, and verify billing hours submitted by attorneys and legal staff to ensure accuracy, compliance with firm policies, and alignment with client retainer agreements.
- Reconcile billing statements against time entries, adjust or query discrepancies, and coordinate corrections with attorneys.
- Use LawPay to process client payments, maintain billing records, generate invoices, track outstanding balances, and follow up on late payments.
- Prepare periodic billing reports for firm leadership (e.g. daily, weekly, monthly) showing revenue realization, write-offs, collections activity, and outstanding accounts.
- Document Creation, Management & Filing : Draft, format, proof, and finalize legal documents under attorney supervision : motions, pleadings, affidavits, discovery requests / responses, settlement agreements, correspondence, etc.
- Use Adobe Acrobat / Adobe Creative tools to assemble, edit, annotate, redact, and combine PDF documents, ensure consistent formatting, bookmarking, and hyperlinks.
- Maintain organized document storage systems (electronic file structure, naming conventions, version control).
- Perform legal research on statutory, procedural or case law under supervision and prepare summaries / memos for attorneys.
- Prepare filings (court, administrative) electronically or via physical submission as needed; track filing deadlines and confirm receipt.
- Communications & Client Interaction : Use firm telephony / VoIP to handle incoming and outgoing client calls, route calls to attorneys, schedule client appointments, and take message logs.
- Serve as liaison to clients : obtain necessary documentation, explain procedural steps, coordinate with third parties (medical providers, insurance, experts), and maintain client status updates.
- Draft client letters, email communications, and follow-up reminders.
- Case Administration & Support : Intake new matters, monitor case calendars, deadlines, statute of limitations, hearings, status dates; issue alerts and reminders to attorney and support staff.
- Track and manage correspondence, discovery, evidence, exhibits, and case files.
- Assist attorneys with trial preparation : organize exhibits, prepare binders, coordinate logistics, and compile trial packets.
- Coordinate with external vendors for scheduling, billing, and document exchange.
- Use accident reports and data tools to obtain reports and integrate data into case files (if applicable in personal injury matters).
Requirements
1 to 2 years of relevant legal or paralegal experience (preferred but not required)Strong English communication skills (written and spoken)Committed to long-term growth with the firmLegal background preferred (family law, personal injury, or civil litigation)Excellent time management and ability to work independentlyComfortable communicating with clients, courts, and opposing counselExperience with legal billing systems and trust accounting (preferred)Familiarity with e-filing systems (state and local courts)Knowledge of document automation tools (e.g., HotDocs, Lawyaw) is a plusAble to manage tight deadlines and perform well under pressureWilling to work on a night shift schedule.Willing to work at Tower 1, Rockwell Business Center, OrtigasEmployment type
