Job Description

Be part of our client’s team as an  Executive Assistant , where you'll be the linchpin of our C-Suite Executive's office, contributing significantly to our organization's overall success. We're searching for a detail-oriented professional with exceptional calendar management, communication, and administrative skills, capable of responding swiftly to dynamic business needs. Your responsibilities encompass efficiently managing the executive's calendar, acting as a liaison between the executive and stakeholders, and displaying outstanding responsiveness. You'll provide comprehensive administrative support, maintain an organized filing system, coordinate complex travel arrangements, assist in event coordination, and handle sensitive information with utmost discretion. Quick and proactive problem-solving is essential in this role.

Here’s an overview of your future role :

Employment type : Full-time

Shift : Night (Mon - Fri 09 : 00 PM - 06 : 00 AM)

Work setup : Permanent WFH

What do you need to succeed?

  • Bachelor's degree preferred or equivalent work experience.
  • Preferred previous experience as an Executive Assistant supporting high-level executives or department heads / leads.
  • Preferable prior experience working in a digitally focused organization, with a preference for digital marketing experience.
  • Exceptional organizational skills and effective multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in using office software and tools, including calendar management applications.
  • Strong problem-solving skills and the ability to thrive under pressure.
  • Demonstrated high degree of professionalism, with the capability to interact effectively with individuals at all levels.
  • Strong interpersonal skills, enabling success both as an independent worker and as part of a team.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.

What your day to day will look like?

Calendar Management :

  • Efficiently manage the executive's calendar, schedule and coordinate appointments, meetings, conferences, and travel arrangements.
  • Prioritize conflicting demands, anticipate scheduling conflicts, and recommend solutions to optimize the executive's time.
  • Communication :

  • Act as a liaison between the executive and internal / external stakeholders, effectively conveying messages and instructions with utmost professionalism.
  • Craft and draft emails, memos, reports, and other communications on behalf of the executive.
  • Responsiveness :

  • Display exceptional responsiveness by promptly attending to incoming communication, requests, and inquiries on behalf of the executive.
  • Address urgent matters and manage last-minute changes to the executive's schedule with poise and adaptability.
  • Administrative Support :

  • Provide comprehensive administrative support, including managing correspondence, preparing presentations, and handling expense reports.
  • Maintain an organized filing system, ensuring easy retrieval of documents and information.
  • Travel Coordination :

  • Arrange complex domestic and international travel logistics, including flights, accommodations, transportation, and itinerary planning.
  • Ensure the executive's travel arrangements align with their preferences and business requirements.
  • Event Coordination :

  • Assist in organizing and coordinating events, meetings, and conferences, both internal and external.
  • Collaborate with other team members to ensure the seamless execution of events.
  • Confidentiality and Discretion :

  • Handle sensitive and confidential information with the utmost discretion and maintain a high level of confidentiality.
  • Problem Solving :

  • Quickly and proactively resolve issues and challenges that arise in the course of supporting the executive, demonstrating resourcefulness and good judgment.
