Location : remote
Position Overview : We are seeking an experienced and detail-oriented Operations Analyst / Specialist to support operational functions with a focus on compliance. The role involves providing operational support to the corporate office and community managers, assisting in regulatory compliance, managing documentation, and handling various property management tasks. The ideal candidate will possess a strong attention to detail, expertise in compliance with Low Income Housing Tax Credit (LIHTC), Project-Based Section 8 programs, and other related programs, while also being proficient in property management systems like Yardi (ideal but not required), Microsoft Office Suite, and Adobe Acrobat. Experience in accounting or billing is desired but not required.
Key Responsibilities :
Compliance and Regulatory Oversight :
Review compliance packages with high attention to detail, focusing on Low Income Housing Tax Credit (LIHTC) and Project-Based Section 8 programs.
Provide detailed revision notes to community managers to ensure files meet compliance standards in accordance with HUD Handbook 4350.3 and applicable compliance manuals (e.g., Pennsylvania Housing Finance Agency).
Prepare necessary documentation for regulatory compliance audits and promptly address compliance findings, submitting them to the Director of Operations for review before final submission.
Monitor and maintain Enterprise Income Verification (EIV) reports, ensuring they comply with HUD requirements across the portfolio.
Maintain access to HUD Secure Systems for designated community managers and corporate employees.
Assist property management teams with completing annual and interim income certifications.
Ensure compliance-related documents are saved electronically and according to company guidelines.
Update and revise compliance forms and documents as needed.
Tenant Relations and Security Deposit Correspondence :
Act as a liaison for tenant inquiries, ensuring efficient communication and resolution of any concerns or issues.
Prepare security deposit refunds or deductions in compliance with relevant regulations and correspondence with tenants.
Maintain accurate records for all tenant transactions related to security deposits.
Service Contract Management :
Manage the preparation, execution, and tracking of service contracts for property operations.
Collaborate with vendors and contractors to ensure timely delivery of services.
Monitor contract compliance and assist in resolving service-related issues.
Eviction Preparation and Filing :
Support the eviction process, ensuring the necessary documentation is completed and filed in accordance with legal requirements.
Work closely with legal teams to facilitate eviction notices and monitor cases for compliance.
Yardi & Dropbox Management :
Utilize Yardi property management software to track and manage tenant data, contracts, and invoices (ideal but not required).
Organize documents in Dropbox, ensuring proper storage and easy access for the team.
Provide ongoing support with data entry, record-keeping, and system updates to maintain data integrity.
Property Management Support :
Assist with tasks related to property acquisition, including organizing documents during the due diligence period.
Support property onboarding activities for newly acquired properties.
Draft and prepare lease agreements, addendums, and any documents related to the leasing process.
Generate legal notices, such as demands, as required by property management.
Additional Operational Support :
Load data into investment models for management review.
Assist with various asset management and property management tasks as needed.
Support community managers in assessing and improving operational efficiency within the property management and compliance departments.
Draft and prepare notification letters to residents regarding updates or changes in policies.
Qualifications :
Bachelor’s degree in Business Administration, Operations Management, Real Estate, or a related field (preferred).
Previous experience in property management / tenant relations is a plus.
2+ years experience working in operations, as an office manager, or project manager required.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and / or Adobe Acrobat is required.
Proficiency with Yardi property management software is ideal, but not required.
Strong organizational skills, with the ability to prioritize and manage multiple tasks simultaneously.
Exceptional attention to detail and accuracy in documentation and compliance tasks.
Strong communication skills, both written and verbal.
Knowledge of compliance regulations, including HUD Handbook 4350.3 and related compliance manuals.
Accounting or billing experience is desired but not required.
Ability to collaborate effectively with internal teams, external vendors, and regulatory agencies.
Working Conditions :
Full-time position, Monday through Friday (standard business hours).
Some flexibility may be required to meet deadlines or address urgent issues.
