Job Description
We are seeking a proactive, detail-oriented, and tech-savvy Operations Assistant to support our real estate and business operations, including the Community to CashFlow program. This role focuses on client interaction, administrative support, scheduling, and CRM management. The ideal candidate will be highly organized, adaptable, and capable of multitasking effectively while working with the core team. Prior real estate experience is preferred.
Key Responsibilities
Client Interaction and Communication
Handle client follow-ups and communication via phone, email, and CRM.Conduct initial client calls to gather information and explain services.Respond to client queries using pre-approved scripts or FAQs.Assist in preparing and coordinating client presentations and documentation.Scheduling and Organization
Manage Dr. Tori’s personal and business calendar (appointments, meetings, deadlines).Schedule and organize webinars, client calls, and internal team meetings.Ensure timelines are tracked and deadlines are met for projects and client deliverables.Administrative Support
Organize and manage paperwork for Community to CashFlow program clients.Maintain digital records, contracts, and compliance documents.Assist with client onboarding and closings to ensure smooth processes.Prepare agendas, meeting notes, and follow-up tasks.CRM & Technology
Maintain and update client pipelines, tasks, Go High Level (GHL), Canva, Loom, and Gemini AI.Generate reminders and reports from GHL to keep the team aligned.Support workflow automations to improve efficiency.Use Google Workspace (Docs, Sheets, Drive, Calendar) for collaboration and record keeping.Real Estate Program Support
Provide administrative support for property analysis and deal tracking (training provided).Coordinate with lenders, contractors, or partners as needed.Assist in tracking client progress through the Community to CashFlow program.Requirements
Proven experience as an assistant or in an operations role.Required : Proficiency in Go High Level CRM (pipelines, tasks, and data management).Proficiency in Google Workspace (Docs, Sheets, Calendar, Drive)Strong organizational and scheduling skills.Excellent written and verbal communication skills.Preferred : Familiarity with real estate processes.Ability to adapt to changing priorities, work independently, and maintain confidentiality.Key Qualities : The ideal candidate is highly organized and detail-oriented, proactive in problem-solving with strong follow-through, an effective communicator with excellent client interaction skills, and consistently reliable, professional, and discreet in handling sensitive information.Benefits
