Objectives of this role :
Provide high-level executive and operational support to company leaders across multiple business units.Manage administrative, bookkeeping, and marketing tasks to improve efficiency and accuracy.Support recruitment coordination and onboarding processes.Leverage technology and AI tools to enhance workflow automation, reporting, and task tracking.Responsibilities :
Executive & Operations Support - Manage calendars, emails, meetings, and travel arrangements; oversee vendor coordination and logistics; handle confidential communications and follow-ups.Bookkeeping & Financial Support - Record transactions, assist with reconciliations, reporting, and documentation across multiple entities. Training will be provided for Oracle NetSuite.Recruiting & People Operations Support - candidate communication, interview scheduling, onboarding, and record management using tools such as Jira.Marketing & Social Media - Assist with LinkedIn content creation using Canva, maintain brand consistency, and coordinate trade shows, events, or promotional activities.Technology & AI Tools - Help implement and integrate new software tools to streamline workflows and automate processes.Required skills and qualifications :
Proven experience in executive assistance or administrative management.Strong bookkeeping or accounting support skills with attention to accuracy.
Highly organized, proactive, and able to manage multiple priorities.Excellent written and verbal communication skills, professional and clear.Tech-savvy and comfortable learning new systems; proficient in Jira, Canva, LinkedIn, Google Workspace, and Microsoft Office.Reliable, discreet, and capable of handling confidential information.Preferred skills and qualifications
Experience supporting executives in tech, logistics, or operations industries.Familiarity with ERP systems (e.g., Oracle NetSuite) is an advantage - training provided.Background in recruiting coordination, marketing, or people operations.Experience in social media management is a strong plus.Interest in AI tools, workflow automation, and emerging technologies.
