Setup and Location :   WFH or Hybrid (Ortigas, Alabang, Pampanga, or Cebu)

Work Schedule : 8 : 30 AM - 5 : 30 PM AEST

Employment Type : Full-time

Seeking an Executive Assistant to support operations through efficient calendar and email management, administrative tasks, and data organization. The ideal candidate will demonstrate excellent initiative, precision, and the ability to work independently while managing sensitive information and multiple priorities. This role is critical for enabling smooth executive operations and supporting strategic goals through high-quality support and organization.

What You’ll Do

  • Manage and coordinate calendar scheduling, including meetings, appointments, and deadlines
  • Monitor, prioritize, and respond to emails on behalf of executives
  • Draft, review, and track basic invoices and expense reports
  • Create high-quality presentations and prepare executive-level documents
  • Build and maintain spreadsheets for data entry, tracking, and reporting purposes
  • Conduct thorough online research to gather relevant information to support decision-making
  • Provide proactive feedback and suggestions for process optimization and administrative improvements
  • Maintain organized digital files and documentation for easy access and retrieval
  • Handle confidential information with integrity and discretion
  • Assist with other administrative duties as required by evolving business needs

Requirements

What You Bring

We’re looking for someone who :

  • Bachelor's degree in Business Administration, or a related field is preferred
  • 3+ years of experience in administrative support or executive assistance, or related experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Demonstrated ability to take initiative, prioritize work, and meet deadlines independently
  • Exceptional attention to detail and commitment to accuracy in all deliverables
  • Strong written and verbal communication skills
  • Ability to manage confidential information with discretion and professionalism
  • Skilled at organizing complex information and handling multiple simultaneous tasks
  • Experience in preparing executive-level reports and presentations is highly desirable
