Position Summary
The Operations Supervisor plays a vital role in ensuring seamless and efficient daily operations.
This position’s primary responsibility is the strategic management of staff scheduling—maximizing treatment room utilization, ensuring compliance with California labor laws, and balancing employee needs with client demand.
We are seeking an experienced professional with deep expertise in managing hourly workforce schedules in fast-paced, service-oriented environments.
Key Responsibilities
Schedule Management
Develop, manage, and optimize staff schedules to maximize treatment room and resource utilization.
Adjust schedules proactively in response to bookings, seasonal fluctuations, staff requests, and business needs.
Track and manage staff availability, ensuring compliance with minimum shift / hour requirements while meeting service demand.
Maximize treatment room efficiency by aligning provider schedules with client needs and minimizing downtime.
Oversee and allocate non-booked administrative time productively, including training and team development.
Collaborate with leadership to analyze scheduling data, identify inefficiencies, and recommend improvements.
Maintain clear, timely communication with staff on schedule changes, open shifts, and updates.
Compliance Oversight
Ensure adherence to California labor laws, including rest and meal break requirements.
Monitor daily compliance and implement corrective action when needed.
Coverage & Flexibility
Coordinate coverage for PTO, call-outs, and open shifts.
Oversee an on-call system to ensure uninterrupted client services.
Performance Monitoring
Track and report on staff and treatment room utilization rates.
Partner with management to resolve scheduling conflicts, staff concerns, and compliance issues.
Team Support
Act as the primary point of contact for staff regarding schedules and shift coverage.
Support employees in maintaining work-life balance and overall well-being.
Contribute to special projects as assigned.
Qualifications
10+ years of experience in scheduling hourly employees, ideally within wellness, hospitality, healthcare, or service industries.
Proven expertise in managing complex schedules with multiple factors (compliance, availability, utilization).
Strong knowledge of California labor law requirements for hourly staff.
Excellent organizational, communication, and problem-solving skills.
Proficiency with scheduling software and workforce management systems.
Ability to work independently and effectively in a US Pacific Time zone schedule.
