We are looking for a Supply Planner / Logistics Coordinator who will translate demand into purchase orders and move products from factory → freight → customs → 3PL on time and at the best landed cost. You will own the inbound calendar, manage monthly shipments, and provide reliable ETAs that Wholesale and Customer Service teams communicate to customers.
You are the behind-the-scenes traffic controller who prevents surprises.
What You’ll Own
PO Planning & Placement : Convert forecasts into buy plans with MOQs and lead times, place POs with vendors, and maintain PO data hygiene in NetSuite.
Inbound Logistics : Book ocean / air / truck shipments, coordinate exports with factories, manage brokers / customs paperwork, and track shipment milestones (ex-factory, ETD / ETA, arrival).
Inbound Calendar (Single Source of Truth) : Publish and maintain ETAs for all open POs; flag risks early and drive recovery plans.
3PL Receiving Readiness : Schedule deliveries, send ASNs / packing lists / compliance docs, and ensure smooth receiving and put-away.
Supply Allocation Handshake : Link inbound POs to NetSuite Supply Allocation; provide availability dates by channel / customer to Inventory / Wholesale.
Cost & Compliance : Track freight quotes, select modes / carriers, and reduce landed cost variance while meeting service levels. Ensure routing, documentation, and trade compliance.
Day-to-Day Responsibilities
Build and maintain a PO plan for 90–120 days; update for lead-time changes and vendor capacity.
Confirm production and ex-factory dates with factories; escalate slippage and propose mitigations.
Book freight and manage forwarder bookings, ISF, commercial invoices, packing lists, HTS / COO, and any special permits.
Coordinate and assist accounting with tariffs, customs, and duties, including managing accounts with each country’s systems and supporting finance with forecasting these amounts.
Track shipments through milestones; update the inbound calendar and notify stakeholders of changes.
Coordinate with 3PLs on dock appointments, labeling, carton / pallet specs, and receiving instructions.
Provide a weekly ETA digest to Wholesale Ops and Customer Service for customer communications.
Partner with the Inventory Manager on allocation timing, preorders / backorders, and channel availability.
Reconcile landed cost elements; surface variances and savings opportunities to Operations / Finance.
Monitor the economics and recent trends in international freight; periodically obtain multiple quotes to ensure competitive rates.
Maintain SOPs and checklists; continuously improve cycle time and predictability.

Qualifications
4–7+ years in supply planning / logistics for consumer products; experience with international freight and customs.
Proficiency in NetSuite (POs, vendors, item records, inbound shipments); comfortable with saved searches and CSV updates.
Familiar with freight forwarder portals, booking processes, and brokerage requirements.
Ability to translate forecasts into buy plans (MOQs, lead times, safety stock).
Strong coordination skills with factories, forwarders, and 3PLs; calm under pressure.
Excellent communication and documentation skills; strong written English required.
Proficiency in Google Sheets / Excel .
