About the Role
As Executive Assistant to the CEO of Steadfast Life, you will provide high‑level executive support and play a critical role in ensuring the smooth and efficient running of the CEO’s office. You will act as the central point of contact for the CEO, managing their diary, coordinating meetings, preparing documentation, and ensuring clear communication with internal and external stakeholders. In addition, you will assist members of the Leadership Team as required, helping to align priorities, coordinate activities, and drive execution of organisational objectives. The role requires a proactive, highly organised professional with excellent communication skills, the ability to manage multiple priorities, and the discretion to handle sensitive information.
Key Responsibilities
- Provide executive‑level administrative support, including preparation of documents, reports, and presentations for the Board and other external meetings.
- Manage the CEO’s calendar and commitments, ensuring effective prioritisation across multiple time zones.
- Act as the primary point of contact between the CEO, internal staff, and external stakeholders.
- Coordinate domestic and international travel, itineraries, and accommodation.
- Prepare and reconcile expense reports accurately and on time.
- Organise and support key meetings, workshops, and events.
- Handle confidential matters with integrity and discretion.
- Assist Leadership Team members with scheduling, meeting coordination, and follow‑up actions.
- Coordinate agendas, actions, and documentation to support effective Leadership Team meetings.
- Assist on cross‑functional projects and initiatives as directed by the CEO.
- Support internal communications and cultural initiatives that foster collaboration and engagement.
- Highly developed organisational and time‑management skills, with acute attention to detail.
- Strong written and verbal communication skills, engaging confidently with senior executives and stakeholders.
- Ability to anticipate needs, prioritise effectively, and remain resilient in a fast‑paced environment.
- Proven discretion and integrity in handling sensitive information.
- Strong skills in Microsoft Office Suite (particularly PowerPoint, Word, and Excel); Canva skills are advantageous.
- Proactive, collaborative mindset and willingness to support both the CEO and broader Leadership Team.

Minimum of five years of experience in handling executive administrative role for a CEO, Board of Directors, and C‑level Leadership Team.Bachelor’s degree or college graduate is preferred but not required.Executive assistant work experience in global insurance, finance, BPO or shared services industry is an advantage.Willingness to adjust tasks across multiple time zones (as needed).Able to work with less supervision.Timely and accurate support to the CEO.Effective coordination and prioritisation of executive activities.Smooth running of meetings, events, and travel arrangements.High‑quality documentation and reporting delivered to Board and Leadership Team.Positive feedback from CEO, Leadership Team, and stakeholders on responsiveness and professionalism.What to Expect
