Job description

Job Title : Operations Manager / Chief of Staff

Contractor Fee : $1,700-$2,600 / month (USD)

Work Arrangement : Remote

Engagement Type : Independent Contractor

Commitment : Full-time (Approx. 40 hours / week)

About This Role :

We are looking for a proactive and highly organized individual to step into the dual role of Operations Manager and Chief of Staff. This position is ideal for someone who thrives in chaos, has a strong attention to detail, and can effectively balance between strategy and execution. You will be responsible for optimizing workflows, managing a 14-person team, building systems, and acting as the operational backbone for the company. You must think like the founder and ensure nothing falls through the cracks, while constantly refining internal systems and processes.

Key Responsibilities :

Oversee operations, ensuring smooth execution across projects.

Help build weekly and bi-weekly call agendas.

Manage internal tools like ClickUp, Slack, and Google Drive.

Automate tasks to streamline workflows and reduce friction.

Organize and refine internal SOPs for clarity and efficiency.

Develop workflows for various departments.

Track and document team member progress and responsibilities.

Host 1 : 1 check-ins for team feedback and process improvement.

Collaborate with external software reps to optimize tool usage.

Ensure consistent communication and progress tracking across teams.

Strong organizational and communication skills

Ability to use and optimize productivity tools.

Qualifications :

3-5 years of freelancing or operations management experience.

Strong written and verbal English communication skills (C1-C2 level)

Experience in e-commerce or digital operations preferred.

Strong organizational, project management, and communication skills.

High Conscientiousness on the DISC assessment.

Ability to work independently and handle ambiguity.

Experience using productivity tools such as ClickUp.

Strong written and verbal English communication skills.

Proactive, detail-oriented, and structured mindset.

Comfortable with various digital marketing tools.

Experience in process optimization and workflow development.

Shift Schedule :

Monday to Friday, 9 : 00 AM to 5 : 00 PM US EST
